Astronova, Inc. in Rhode Island is seeking a Payroll Administrator to manage U.S. payroll and related financial controls.

You will work within the Finance department, partnering with HR, Finance, managers, employees, and external providers to ensure data integrity and regulatory compliance. The role covers ADP Workforce Now payroll cycles, timekeeping review, deductions, audits, year-end tasks, and coordinating with vendors on benefits and tax activities.

Qualifications

• Associate degree in accounting, finance, business administration, human resources, or related field.
• 5+ years payroll administration experience.
• Experience with multi-state payroll and wage-hour, tax, and deduction rules.
• Experience with ADP Workforce Now or similar payroll/timekeeping platform.

Responsibilities

• Owns domestic payroll processing using ADP Workforce Now, including weekly/bi-weekly cycles, off-cycle payments, adjustments, and final pay calculations.
• Collects, reviews, and validates timekeeping data, earnings, deductions, paid time off, taxes, direct deposits, and payroll changes before processing.
• Performs payroll reconciliations and variance reviews to confirm gross-to-net accuracy and payroll funding.
• Coordinates with HR to process hires, terminations, status changes, compensation changes, leaves, and benefit deductions accurately.
• Processes garnishments, levies, child support orders, and other required deductions.
• Maintains payroll records, SOPs, approvals, and audit documentation.
• Supports payroll tax activities, including notices, quarter- and year-end reconciliations, W-2 review, and vendor coordination.
• Conducts routine payroll audits and implements corrective actions.
• Assists with audits by preparing complete payroll documentation.
• Monitors payroll deadlines and communicates issues to stakeholders.
• Performs other payroll, accounting, reporting, and administrative duties as assigned.
• Manage end-to-end benefits billing, including receipt, review, reconciliation, and approval of vendor invoices.
