The role requires 10+ years in agency operations, strong budgeting skills, and excellent communication to navigate a fast-paced environment in Hawaii.

Qualifications

• 10+ years of agency operations or operational leadership experience.
• Hands-on experience with project management platforms (e.g., Jira, Tempo).
• Proven ability to build estimates, manage productivity & budgets, and coordinate with accounting/billing.
• Outstanding communication, problem-solving and multitasking skills under fast-paced deadlines.

Responsibilities

• Participate in daily status reviews with executive leadership and translate priorities into actionable plans and SOPs.
• Set up client projects and timelines in agency software; translate scopes into tickets and manage assignments with QA standards.
• Prepare proposals, client estimates and campaign budgets; coordinate monthly retainer and project billing.
• Source, manage and contract vendors; oversee photo/video shoots, print/merch production and recurring projects.
• Oversee HR/admin tasks: payroll, onboarding/offboarding, PTO tracking and HR inquiries.
• Direct creator outreach, oversee PR workflows and cover for staffing gaps in client service.
• Handle office facilities management, travel logistics and basic tech support.
