Job summary

IST Management Services, Inc. seeks a Senior Facility Manager/Operations Manager for our downtown Chicago team. The role oversees facilities operations, vendor coordination, and on-site services including hospitality, mail, print and print center workflows.

The ideal candidate has 3–5 years in facilities management within a corporate environment, with proven leadership of a 5+ person team and strong customer service skills. Flexible schedule and onsite presence are required.

Qualifications

• Ideal candidates have the ability to confidently interact with clients and visitors, possess excellent communication abilities, and are ready to grow in their professional career.
• Previous management experience in a legal environment is a plus.
• Authorized to work for any employer in the US.

Responsibilities

• Act as primary contact for general office management, operational facility issues and requests.
• Coordinate with vendors including Crafty, Iron Mountain, Pro Shred, HVAC.
• Conduct routine facility inspections to determine areas for service.
• Coordinate and assist in implementation of future of work.
• Provide hands-on support for basic maintenance.
• Engage approved vendors as needed to complete repairs.
• Partner with internal departments including EUC and technology teams.
• Ensure timely follow-up and work order completion.
• Provide backup to Facility Manager for all sites as necessary.
• Perform on-site event coordination and planning with global Events Team.
• Deliver professional and friendly customer service with strong business etiquette.
• Manage mail/copy/print center workflows and recommend industry best practices.
• Maintain logs and reporting documentation; adhere to safety procedures.
