We are currently helping our client, a mission-based organization, with their search for a Senior Executive Business Administrator.

Schedule: Full-time, 5 days/week onsite

The Opportunity

Our client is seeking an experienced Senior Executive Business Administrator to provide high-level administrative support to two senior executives. This is a highly visible role requiring exceptional organization, communication, judgment, and discretion.

The right candidate is an experienced executive support professional who can stay several steps ahead, manage competing priorities, and bring structure to busy executives' days. You will own complex calendars, coordinate travel, manage expenses, prepare for meetings, facilitate communication, and help ensure priorities and commitments stay on track.

This is a hands-on, collaborative environment, so flexibility matters. While executive support is the primary focus of the role, this person will also pitch in with meetings, visitors, and occasional office needs as part of a small team.

What You'll Do
  • Provide proactive, high-level administrative support to two senior executives
  • Own complex and frequently changing calendars, proactively resolving conflicts and ensuring executives are prepared for upcoming commitments
  • Coordinate meetings across internal and external stakeholders, including scheduling, logistics, materials, and follow-up
  • Manage domestic and international travel, including detailed itineraries, accommodations, transportation, and changes that arise along the way
  • Prepare and manage expense reports and related administrative documentation
  • Help executives stay ahead of priorities, deadlines, meetings, and commitments
  • Draft, coordinate, and manage professional communications and correspondence as needed
  • Prepare meeting materials, agendas, briefing information, and other documentation
  • Serve as a trusted point of contact for internal and external stakeholders
  • Handle sensitive and confidential information with exceptional discretion and judgment
  • Build strong working relationships with other executive and administrative support professionals to ensure coordination and coverage
  • Support visitors, meetings, and events to ensure a polished and professional experience
  • Assist with day-to-day office needs when necessary as part of a collaborative, hands-on team
  • Support special projects and changing business priorities as needed
What We're Looking For
  • 5+ years of executive administrative support experience, ideally supporting senior or C-level executives
  • Demonstrated experience owning complex executive calendars and coordinating across multiple stakeholders
  • Strong experience coordinating domestic and international travel
  • Excellent written and verbal communication skills
  • Strong attention to detail and ability to anticipate needs rather than wait for direction
  • Ability to prioritize effectively and remain composed when schedules or priorities change
  • Exceptional discretion, judgment, and professionalism when handling confidential information
  • Strong interpersonal skills and the ability to communicate effectively with executives, colleagues, and external stakeholders
  • Highly organized with the ability to manage multiple priorities simultaneously
  • Strong Microsoft Office skills and experience with calendar, travel, and expense-management tools
  • Collaborative, flexible, and willing to pitch in wherever needed within a small-team environment
  • Ability to work onsite in Kirkland five days per week
  • Ability to successfully complete a detailed background check

The salary range for this position is $90,000-$120,000 annually depending on experience and qualifications.
