Senior Executive Assistant to CEO

Location: Framingham, MA
Schedule: Full-Time | 40 hours per week
Salary: $100,000–$120,000 annually
Status: Exempt

Position Overview

A growing, entrepreneurial organization in Framingham is seeking an experienced Senior Executive Assistant to provide high-level support to its Founder and CEO across several business ventures. In addition to leading a professional services organization, the CEO is involved in multiple businesses spanning technology, real estate, hospitality, and retail.

This is a true right-hand role for an Executive Assistant who can operate at a strategic level while remaining willing to handle the day-to-day administrative details that keep a busy executive organized and effective. The successful candidate will be highly adaptable, proactive, discreet, and comfortable moving quickly between different businesses, projects, priorities, and stakeholders.

The ideal candidate has at least five years of experience directly supporting a C-suite executive, owner, president, or similarly senior leader. Experience within a regulated or highly confidential environment is strongly preferred, although industry-specific experience is not required. An interest in immigration and the organization’s mission is important.

Responsibilities
  • Provide comprehensive executive support to the Founder/CEO across multiple companies, business ventures, and initiatives
  • Proactively manage a complex executive calendar, appointments, meetings, and competing priorities
  • Protect the CEO’s time by determining priorities, resolving scheduling conflicts, and appropriately managing lower-priority requests
  • Prepare thoroughly for meetings by gathering materials, identifying outstanding issues, and ensuring the CEO has the information needed to make decisions
  • Coordinate meeting agendas, participants, logistics, notes, action items, and follow-up
  • Track commitments, deadlines, deliverables, and follow-up items through completion
  • Attend and lead meetings when appropriate, documenting decisions, responsibilities, and next steps
  • Coordinate detailed domestic and/or international travel, including flights, accommodations, transportation, itineraries, and contingency planning
  • Draft, edit, and proofread executive correspondence, reports, presentations, summaries, and other materials
  • Conduct research and compile information to support business and executive decision-making
  • Serve as a key point of coordination between the CEO and employees, leadership, clients, vendors, and other external stakeholders
  • Support projects and priorities across multiple businesses and help ensure information moves effectively between teams
  • Create and maintain project trackers, timelines, task lists, and status reports
  • Support new business ventures, transitions, events, acquisitions, and other strategic initiatives
  • Identify potential scheduling, communication, or operational issues before they become problems
  • Handle sensitive and confidential business, employee, and executive information with discretion
  • Maintain organized electronic records, executive files, contact information, and recurring deadlines
  • Assist with routine administrative responsibilities as needed; this individual must be equally comfortable with high-level executive work and basic administrative tasks
Qualifications
  • 5+ years of experience directly supporting a CEO, C-suite executive, founder, president, owner, or other senior leader
  • Experience supporting executives in a regulated, highly confidential, or complex business environment strongly preferred
  • Exceptional calendar management, organization, and time-management skills
  • Demonstrated ability to manage a busy executive with significant competing priorities
  • Strong meeting preparation, follow-through, and action-item management skills
  • Excellent written and verbal communication skills
  • Exceptional attention to detail
  • Strong judgment, discretion, and ability to handle highly confidential information
  • Ability to anticipate needs and work independently without waiting for detailed direction
  • Comfortable taking ownership of projects from beginning to end
  • Highly adaptable and able to shift between different companies, industries, projects, and priorities
  • Strong problem-solving skills and ability to remain composed in a fast-paced environment
  • Proficiency with Microsoft Office, Google Workspace, and common business technology
  • Ability to quickly learn new software and systems
  • Genuine interest in the organization’s work and immigration-related mission
  • Bachelor’s degree preferred
What Success Looks Like

The strongest candidate will function as an extension of the CEO, understanding what requires his attention, what can be handled independently, and what needs to happen next without being prompted. This person should be able to move seamlessly from reorganizing an exceptionally busy calendar to preparing an executive briefing, coordinating complex travel, leading follow-up from a meeting, supporting a new business venture, or handling a straightforward administrative task.

This position is best suited for someone who takes pride in being highly dependable, anticipates needs, notices details others miss, and enjoys helping a busy executive operate more efficiently.

Interview Process

  • Approximately 45-minute initial video interview
  • Practical exercise involving a travel scenario and creation of a mock itinerary
  • In-person interview with the CEO
  • Calendar-management exercise involving prioritization and scheduling within a complex executive calendar
