Qualifications

  • Set up and troubleshoot video conferences and meeting tech.
  • Interact professionally with senior leaders and stakeholders.
  • Handle confidential information with discretion and professionalism.
  • Work from the Austin office at least four days per week.
  • Experience in startup/high-growth tech or defense/advanced manufacturing contexts.

Job Description

As Senior Executive Assistant, you will provide high-level support to the CEO, COO, and Chief Engineer, helping three senior executives operate effectively in a fast-paced and highly dynamic environment. You will own complex calendar management, meeting coordination, travel and logistics, executive preparation, communications, and day-to-day prioritization while anticipating conflicts and solving problems before they become distractions. This role requires far more than strong administrative skills. You will be expected to understand each executive's priorities, exercise sound judgment with limited direction, make quick decisions when plans change, and become a trusted extension of the leaders you support. You must also be highly comfortable with technology and able to independently set up and troubleshoot common executive meeting technology, conference-room systems, video calls, and both Windows and Mac environments.

Skills and Requirements
  • 6+ years of Executive Assistant, Senior Executive Assistant, or comparable executive-support experience, including significant experience directly supporting C-suite or equivalent senior executives.
  • Demonstrated experience supporting multiple executives simultaneously, preferably including a CEO, founder, president, COO, CTO, engineering leader, or other C-suite executive.
  • Expert-level calendar management skills with experience coordinating complex schedules, competing priorities, internal and external stakeholders, and meetings across multiple time zones.
  • Proven ability to operate independently in a fast-paced, high-growth, or rapidly changing environment, make quick and thoughtful decisions, and successfully manage ambiguity with limited direction.
  • Strong technical aptitude and proficiency with modern workplace technology, including Microsoft Office/Microsoft 365, Outlook, Teams, Zoom, Slack or similar collaboration tools, and comfort working across both Windows and macOS environments.
  • Ability and willingness to independently set up and perform first-line troubleshooting for video conferences, conference-room technology, displays, cameras, microphones, and common executive technology issues.
  • Exceptional organizational, written, verbal, and interpersonal communication skills, with the ability to interact professionally and confidently with senior executives and internal and external stakeholders.
  • Demonstrated ability to handle confidential and highly sensitive information with discretion, sound judgment, and professionalism.
  • Strong attention to detail and follow-through, with the ability to manage multiple high-priority workstreams without losing track of commitments or deadlines.
  • Ability to work from the Austin, Texas office at least four days per week and provide reasonable flexibility when critical executive needs, travel, meetings, or events occur outside standard business hours.
  • Experience supporting senior executives within a startup, high-growth technology company, defense technology company, aerospace organization, advanced manufacturing business, or other highly technical environment.
  • Previous experience directly supporting three or more executives with different functional responsibilities and competing schedules.
  • Experience supporting executives who regularly interact with Boards of Directors, investors, customers, government officials, strategic partners, or other high-profile external stakeholders.
  • Experience coordinating complex domestic and international executive travel, leadership offsites, Board meetings, customer visits, VIP meetings, and company events.
  • Experience using project-management, expense-management, productivity, or AI-enabled tools to improve executive workflows and administrative efficiency.
  • Demonstrated ability to learn enough about a highly technical business to understand context, recognize priorities, anticipate executive needs, and communicate effectively with technical and non-technical stakeholders.
