We are seeking a highly organized, proactive, and polished Executive Assistant to provide dedicated support to a team of six C-suite executives, with the main focus being the CEO. This role requires exceptional attention to detail, strong communication skills, and the ability to manage complex calendars, travel logistics, board meeting coordination, and executive-level administrative functions in a fast-paced environment. The ideal candidate will serve as a trusted partner to senior leadership, ensuring seamless operations and delivering a white-glove experience for executives, board members, and key stakeholders.
Key Responsibilities
- Provide comprehensive executive support to six C-suite leaders, including complex calendar management, meeting coordination, and prioritization of competing demands.
- Coordinate all domestic and international travel arrangements for executives and board members, including flights, accommodations, ground transportation, itineraries, and travel logistics.
- Plan and execute quarterly board meetings, managing all event logistics such as venue coordination, lodging, transportation, reservations, meeting materials, and VIP-level hospitality services.
- Support investor relations activities by partnering with analysts and executives to prepare reports, presentations, financial models, and other stakeholder-facing materials.
- Develop high-quality PowerPoint presentations, executive briefings, and board meeting decks for leadership meetings and investor discussions.
- Manage executive expense reporting and reimbursement processes through Concur or similar expense management platforms, while supporting corporate credit card administration.
- Utilize Microsoft Teams and other collaboration tools to help organize priorities, track action items, and support executive workflow management.
- Identify opportunities to leverage AI and emerging technologies to improve efficiency, communication, and executive support processes.
REQUIRED SKILLS:
- 5-10+ years of experience as an Executive Assistant supporting senior executives or C-suite leadership.
- Proven experience managing executive calendars, travel arrangements, and high-level administrative responsibilities in a corporate environment.
- Demonstrated experience coordinating board meetings, executive events, or leadership off-sites with exceptional attention to detail.
- Experience with expense reporting systems such as Concur and corporate credit card reconciliation.
- Comfortable working onsite five days per week, Monday through Friday, from 8:30 AM to 5:30 PM.
- Experience working in the banking, finance, manufacturing, or industrial industry as an Executive Assistant.
PREFERRED:
- Experience supporting investor relations, executive communications, or board governance activities.
- Familiarity with AI tools and technologies that enhance productivity and workflow efficiency.
- Experience supporting multiple C-suite executives simultaneously in a fast-paced, publicly traded, or high-growth organization.
