Whitman, Requardt & Associates, LLP is seeking a Project Document Control Specialist in Fairfax, VA to support the Construction Management & Inspection (CMI) group. The role involves maintaining project records, managing document control workflows, and ensuring documentation is complete and accessible for public-sector contracts.

The position requires organizing field and office teams, coordinating with clients and inspectors, and ensuring audit-ready records.

Qualifications

• Minimum 5 years of relevant document control, project records, contract administration, or construction project support experience.
• 7+ years preferred for public-sector construction project records management.
• Strong understanding of document control processes, version control, and audit readiness.
• Familiarity with public-sector contracts and owner/agency procedures (e.g., NV local governments, VDOT, DDOT).
• Proficiency with Microsoft Office and document management software.

Responsibilities

• Maintain project records and document control under the direction of the Construction Manager or designee.
• Set up and track documents using systems like SharePoint, Procore, e-Builder, or VDOT/DDOT platforms.
• Organize and archive RFIs, submittals, change orders, meeting minutes, and correspondence.
• Generate project reports, weekly/monthly progress updates, and audit materials.
• Attend meetings and prepare accurate minutes and action item logs.
• Coordinate flow of documents between field staff, inspectors, PMs, contractors, and clients.
