Job summary

Vitalief is seeking a hands-on, detail-oriented budgeting professional to join our Budgeting Outsourcing Services Team. You will support Academic Medical Centers and health systems with daily budgeting, MCA, and billing compliance tasks, while maintaining strong client relationships.

You will develop budgets for industry-sponsored studies, perform Medicare Coverage Analyses, configure study calendars in OnCore, and participate in budget negotiations with sponsors/CROs.

Qualifications

• Bachelor's degree required; related field preferred.
• 3–5+ years of hands-on clinical trial budgeting experience.
• Strong MCA and billing compliance expertise.
• Experience with CTMS to build calendars, budgets and billing grids; OnCore preferred.
• Proven experience negotiating budgets with sponsors/CROs.
• Proficient in Excel; strong analytical and organizational skills.

Responsibilities

• Develop, build, and finalize budgets for industry-sponsored trials in collaboration with AMC/health system stakeholders.
• Perform Medicare Coverage Analyses to distinguish routine vs research costs per CMS guidelines.
• Configure and maintain study calendars, budgets, and billing grids within OnCore.
• Support study start-up with accurate budget setup and invoicing readiness.
• Lead or support budget negotiations with sponsors and CROs; advocate for full cost recovery.
• Collaborate with investigators, finance, and revenue cycle teams to resolve budget/billing discrepancies.
• Conduct ongoing budget tracking, reconciliation, and variance analysis.
• Identify billing compliance risks and ensure CMS/FDA/NIH policies are followed.
• Standardize budgeting workflows, templates, and tools across engagements.
• Provide hands-on support across multiple client engagements.
