Overview
Performs a variety of independent administrative support tasks in addition to a wide range of customer service-related duties. Responsibilities include scheduling patients, managing multiple calendars, scheduling surgical and infusion procedures, and coordinating master and other schedules. May also direct special projects and oversee the work of other employees, work-study students, floats, temporary staff, volunteers, etc.
Responsibilities
- Answering telephone calls, screening and directing calls, providing directions, and taking messages.
- Scheduling patients, managing calendars, scheduling surgical procedures, ancillary services, rotations, and coordinating deposition scheduling.
- Designing, analyzing, and coordinating master and other schedules.
- Maintaining, tracking, and sending charts; providing scribing and other administrative support to clinical staff as needed.
- Typing letters, memoranda, manuscripts, grants, and editing correspondence.
- Creating forms, spreadsheets, tables, charts, databases, and slides.
- Managing files and records, preparing department charts and patient records, and obtaining new medical record numbers.
- Completing and processing reports, forms, reimbursements, and obtaining authorizations and pre-certifications.
- Training new staff members, providing input for performance appraisals, and supervising other employees, students, volunteers, and temporary staff.
- Creating agendas and taking minutes for meetings.
- Coordinating conferences and meetings, and making travel arrangements.
- Tracking budgets, maintaining records, addressing billing concerns, and resolving patient billing issues. Maintaining account and fund bookkeeping, providing input into budget preparation, managing petty cash, collecting payments, and performing balancing and cash-out procedures. Reviewing billing sheets.
- Preparing grants and negotiating outside contracts.
- Performing additional duties as required or assigned.
Qualifications
- High school diploma with at least 3 years of administrative support experience or equivalent.
- Proven experience working with the public.
- Knowledge of medical terminology may be required.
- Proficiency in PC word processing, spreadsheets, Excel, PowerPoint, and Publisher software.
- Excellent communication and interpersonal skills.
- Previous experience in a medical setting is preferred.
