Overview
Reviews, processes, and tracks all referrals for services delivered by providers. Schedules appointments, tests or procedures, responds to patient calls, provides instruction/support to staff for communicating with patients, and may act as liaison between physicians & specialists outside of D-H.
Responsibilities
- Responds to patient calls providing general information and education.
- Greets patients arriving for appointments, provides appropriate questionnaires, answers questions, assists with form completion, and manages delays and updates.
- Assesses needs of unscheduled patients and processes requests for prescriptions, forms, and appointments.
- Reviews and adjusts daily schedules, manages waitlists, and ensures schedules are fully booked to meet patients' needs.
- Completes follow-up tasks such as booking appointments and scheduling exams as directed by the After Visit Summary.
- Handles incoming calls from providers, staff, external offices, and patients, appropriately assessing needs and processing requests.
- Monitors and completes system messages and incoming faxes promptly.
- Prepares authorizations and pre-certifications for external and urgent procedures to ensure timely services and insurance notifications.
- Reviews provider schedules daily, identifies follow-up needs, and processes no-show letters according to policy.
- Supports providers and staff in addressing patient questions and concerns, providing communication guidance.
- Monitors waiting room for distressed patients, responds to minor concerns, and reports issues to supervisors.
- Manages multiple in-baskets, prioritizes, and routes messages as assigned.
- Acts as liaison between primary care physicians and specialists outside DH.
- Monitors referral queues, processes new referrals, and tracks their status to ensure completion.
- Implements and monitors policies and participates in referral management process improvements.
- Delivers and picks up mail daily, completes monthly tracers, and performs weekly system checks.
- Performs other duties as assigned.
Qualifications
- High school diploma or equivalent with 1 year experience in a provider office.
- Knowledge of insurance benefits and medical terminology.
- Effective interaction skills with providers, staff, patients, and insurance representatives.
- Ability to prioritize multiple tasks.
- Computer experience, excellent communication, and attention to detail required.
