Qualifications

• 3+ years of bookkeeping experience.
• Full accounting cycle knowledge: payables, receivables, reconciliations, month-end close.
• Exceptional attention to detail.
• Proficiency in QuickBooks and Excel.
• Experience with payroll processing and benefits administration.
• Familiarity with multi-state tax registrations, licensing, and compliance filings.
• Ability to meet deadlines independently.
• Discretion handling confidential financial and employee information, and clear, professional communication.

Responsibilities

• Maintain the general ledger in QuickBooks and code daily transactions.
• Perform monthly bank, credit card, and merchant account reconciliations.
• Manage accounts payable and accounts receivable, including invoicing and collections.
• Track job-level costs to support project profitability reporting.
• Support the monthly close and year-end preparation with the accountant, CFO, and outside CPA.
• Review employee timesheets for accuracy and completeness ahead of payroll processing.
• Research and resolve variances, including unapproved overtime and unbilled hours.
• Administer PTO tracking, accruals, and year-end carryover.
• Maintain payroll deductions and employee records.
• Process new hire documentation, employment eligibility verification, and state agency registrations.
