Senior Assistant Property Manager

Job Description Summary

The Senior Assistant Property Manager, under the supervision of the Property Manager, assists in all areas of property management. This management role involves supervising staff, operations, and coordinating various functions to ensure client facilities generate satisfactory cash flow, are maintained to standards, and customer satisfaction is achieved.

Job Responsibilities
  1. Manage building staff in the absence of the Property Manager or General Manager, including all managerial functions.
  2. Handle correspondence with clients, tenants, and vendors as directed.
  3. Maintain organized property files, including leases and contracts.
  4. Follow up on delinquencies using aging reports and client policies.
  5. Process invoices with proper backup and in accordance with procedures.
  6. Prepare lease abstracts and monthly rent rolls for management review.
  7. Coordinate tenant move-ins, move-outs, and related logistics.
  8. Manage tenant requests for above-standard work, including obtaining estimates and invoicing tenants.
  9. Oversee maintenance of work order and purchase order systems.
  10. Develop and maintain tenant service programs and ensure tenant data is current.
  11. Update office procedures in the Operations Manual.
  12. Ensure certificates of insurance are up-to-date for tenants and vendors.
  13. Review and approve staff hours, expense reports, and check requests.
  14. Process tenant bill-backs for utilities and services promptly.
  15. Assist in budget preparation, CAM reconciliations, and financial reporting.
  16. Conduct regular property inspections with service providers.
  17. Oversee contractor performance and tenant improvement projects.
