Job summary

Tulane University is seeking a Senior Administrative Program Coordinator for the Tulane Center for Environmental Law (TCEL) and affiliated programs in New Orleans. The role manages weekly program logistics, alumni support, and day-to-day operations, including budget oversight and data tracking.

Qualifications

  • High School Diploma or Equivalent and three (3) years of office management and/or program coordination experience.
  • Bachelor's degree preferred; 3+ years of relevant experience is ideal.
  • Strong MS Office proficiency and budgeting knowledge are expected.

Responsibilities

  • Serve as the primary contact for TCEL faculty and affiliated programs.
  • Coordinate daily operations and oversee office space and files.
  • Maintain financial records, requisitions, travel transactions, and data for budget compliance.
  • Coordinate communications with partner staff and colleagues at other institutions.
  • Schedule meetings, arrange travel, and manage center calendars.
  • Plan and coordinate events and activities for TCEL and related programs.
  • Maintain equipment, materials, and supplies inventory.
  • Assist in preparing progress reports for the center.

Job description

The Senior Administrative Program Coordinator assists in managing programming and activities, including weekly program logistics, alumni support, and overseeing daily operations of the office for Tulane Center for Environmental Law (TCEL) & affiliated programs. In addition, this position assists with managing the oversight of budget management, including requisitions, travel transactions, and additional data tracking/maintenance necessary for budget compliance. The position is also responsible for providing administrative support including preparing correspondence, scheduling meetings, and preparing logistics for successful outcomes of the center.

Responsibilities
  • Serves as a primary contact for faculty involved in TCEL and affiliated programs, including coordination of daily operations and oversight of office space.
  • Coordinates the maintenance and efficient organization of office files, participant files, and financial records.
  • Networks and coordinates communication with professional staff from partners in other institutions involved with the center activities.
  • Coordinates all logistical requests for office maintenance and operations, including requisition, ITs, and purchase orders.
  • Arranges and schedules a variety of meetings and appointments, makes reservations and travel arrangements, establishes and maintains regular and special schedules for the center.
  • Coordinates specific activities and events for the center and arranges for auxiliary services.
  • Orders and maintains inventory of equipment, materials, and supplies.
  • Assists in the development and preparation of a Progress Report about the center.
Qualifications

Required Education and Experience: High School Diploma or Equivalent and three (3) years of office management and/or program coordination experience.

Required Knowledge, Skills, And Abilities/Competencies
  • Proficient with MS Office Suite, especially Word, Excel and Outlook.
  • Excellent organizational, interpersonal and verbal/written communication skills.
  • Ability to work proactively in a dynamic environment and troubleshoot problems as they arise.
  • Ability and availability to work evenings and weekends, as needed.
  • Capacity to effectively manage internal relationships and always represent the University and TCEL & affiliated programs favorably.
  • Highly proficient bookkeeping/accounting/budget management skills; familiar with business accounting and/or budgeting systems and processes.
  • Excellent oral and written communication skills.
Preferred Qualifications
  • Bachelor's degree
  • More than 3 years of office management and/or program coordinator experience.
  • Familiarity with design or event publicity.
