Job summary

Addison Group is partnering with a respected nonprofit organization to hire a Senior Administrative Coordinator in Chicago, IL. The role provides executive-level administrative support, manages calendars, coordinates travel, drafts correspondence, and oversees front-office operations across departments.

The ideal candidate will be highly organized, collaborative, and able to lead administrative staff while maintaining confidentiality and high standards of service in a mission-driven environment.

Qualifications

  • High school diploma or equivalent required.
  • Demonstrated career progression in administrative support positions.
  • Prior experience supervising or leading administrative staff.
  • Background working within a nonprofit or mission-focused organization strongly preferred.
  • Experience coordinating large meetings, events, or organizational initiatives.
  • Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.

Responsibilities

  • Provide executive-level administrative support including complex calendar management, meeting coordination, travel arrangements, and scheduling.
  • Organize meetings by preparing agendas, presentations, reports, and materials while documenting notes and follow-up items.
  • Draft, edit, and distribute professional correspondence, reports, presentations, and confidential documents.
  • Manage incoming communications, prioritize requests, and route inquiries appropriately.
  • Process purchase requests, expense reports, invoices, and other administrative documentation.
  • Coordinate department calendars, meetings, trainings, events, and leadership initiatives.
  • Standardize administrative procedures, templates, and documentation to improve consistency across teams.
  • Collect, organize, and submit reports and departmental information for leadership.
  • Assist with onboarding and administrative orientation for new team members.
  • Oversee daily office operations, including reception, conference room scheduling, office supplies, mail distribution, and shared resources.
  • Supervise and provide guidance to the receptionist while promoting excellent customer service.
  • Serve as the primary point of contact for facilities, technology, security, and other internal support teams.
  • Identify opportunities to improve administrative workflows and office efficiency.
  • Foster collaboration among administrative staff and support cross-functional communication.

Job Description

The Senior Administrative Coordinator will provide executive-level administrative support while ensuring efficient office operations across multiple departments.
