Job summary

Addison Group is seeking an Executive Assistant to the President to serve as a trusted operational partner, managing complex calendars, travel logistics, meeting preparation, and stakeholder communications with utmost professionalism and confidentiality.

The role collaborates with the Senior Executive Assistant and Deputy Chief of Staff to ensure seamless daily operations, providing backup support during travel or high workload while maintaining accuracy and responsiveness.

Qualifications

  • Minimum of 5 years of Executive Assistant experience supporting C-suite executives or senior leadership.
  • Experience managing complex executive calendars and scheduling priorities.
  • Proven experience coordinating domestic and international executive travel.
  • Experience preparing executive presentations, meeting materials, and briefing books.
  • Strong experience processing expense reports and supporting executive administrative operations.
  • Exceptional organizational skills with outstanding attention to detail.
  • Excellent written, verbal, editing, and proofreading skills.
  • Ability to prioritize multiple competing deadlines in a fast-paced environment.
  • Demonstrated ability to maintain confidentiality and exercise sound judgment.
  • Strong interpersonal skills with the ability to communicate effectively across all levels of an organization.
  • Ability to work independently while managing projects from conception through completion.
  • Advanced proficiency in Microsoft Office Suite.
  • Experience with Blackbaud, Concur, and ADP strongly preferred.
  • Bachelor's degree preferred but not required.

Responsibilities

  • Manage complex executive calendars, scheduling priorities, appointments, and executive engagements.
  • Coordinate meetings, conference calls, board meetings, and executive events.
  • Prepare agendas, briefing books, presentations, meeting materials, and supporting documentation.
  • Coordinate domestic and international travel, including flights, hotels, transportation, itineraries, and travel logistics.
  • Monitor travel changes and proactively resolve scheduling conflicts.
  • Prepare executive travel packets and briefing materials.
  • Process and reconcile executive expense reports.
  • Maintain confidential files, records, and administrative documentation.
  • Serve as an administrative liaison between the Office of the President and internal departments.
  • Coordinate communications and requests from senior leadership, trustees, donors, and external partners.
  • Ensure timely follow-up and execution of action items and administrative requests.
  • Provide backup support to the President and Senior Executive Assistant during periods of travel, high workload, or absence.
  • Exercise sound judgment while handling confidential and sensitive information.
  • Anticipate executive needs and proactively identify solutions to support daily operations.
  • Deliver exceptional administrative support while maintaining accuracy, responsiveness, and professionalism.

Job Description:

We are seeking a highly organized, polished, and proactive Executive Assistant to support the office of the President. This individual will serve as a trusted operational partner, providing executive-level administrative support to ensure the seamless execution of the President's daily activities.
