Location (city, state): Washington, DC (Hybrid – Onsite Tuesdays & Wednesdays)

Job Description:

The Senior Administrative Assistant will provide high-level support to senior leaders within the Government Affairs and Strategic Engagement teams. This role involves extensive calendar management, event coordination, and cross-team support in a fast-paced, highly visible environment.

Key Responsibilities:

  • Coordinate logistics for meetings and events, including vendor coordination, participant communications, RSVPs, and venue setup
  • Manage executive calendars, travel arrangements, and meeting preparation
  • Process expense reports, purchase orders, and reimbursement requests
  • Assist with formatting and preparing presentation materials for internal and external engagements
  • Maintain up-to-date records in internal systems, including contact lists and committee databases
  • Support planning for large-scale annual conferences and strategic forums
  • Facilitate communication between senior staff and key stakeholders
  • Complete ad hoc administrative tasks and assist with special projects as needed

Qualifications:

  • 3–5+ years of administrative or project support experience, preferably in a corporate or nonprofit environment
  • Prior experience supporting executive or senior-level leadership
  • Proficient in Microsoft Office (Excel, PowerPoint, Word); familiarity with Workday or CRM tools is a plus
  • Highly organized and detail-oriented, with strong time management and multitasking skills
  • Professional demeanor with excellent communication and customer service abilities
  • Associate’s or Bachelor’s degree preferred; relevant experience accepted in lieu of degree
