We’re looking for a highly organized and proactive Administrative Assistant to support our Client Services team. This role plays a key part in keeping a busy investment team running smoothly, with a focus on scheduling, travel coordination, expenses, and project management. Ideal candidates will enjoy working in a fast-paced environment and bring strong administrative skills along with experience supporting marketing or fundraising teams.

Who You’ll Support:

  • 2 Managing Directors
  • 1 Senior Vice President
  • 3 Vice Presidents
  • Collaboration with other assistants and reporting to the Office Manager/Executive Assistant

Key Responsibilities:

  • Manage complex calendars and schedule meetings in Outlook
  • Coordinate travel (domestic and occasional international)
  • Prepare accurate and timely expense reports
  • Assist with marketing and fundraising-related meetings, materials, and logistics
  • Manage long-term projects and respond promptly to requests
  • Coordinate meetings with clients, vendors, attorneys, and internal teams
  • Prepare presentations, reports, and materials for client and investor meetings
  • Maintain organized filing systems and assist with front-office support as needed
  • Help guide junior staff on travel and expense procedures

Skills & Qualifications:

  • 5+ years of administrative support experience, ideally in a professional services or investment environment
  • Experience supporting marketing or fundraising functions is highly valued
  • Proficient in Microsoft Office Suite and Adobe Acrobat
  • Strong communication, organization, and multitasking skills
  • Able to work independently and handle confidential information with discretion
  • Flexible, detail-oriented, and proactive in anticipating team needs
