Job Summary

The Legal Administrative Assistant for the Trusts & Estates Section works closely with all members of the group to perform legal administrative functions for a busy team. This position will report to the Supervising Shareholders and Director of Administration and will be based in Atlanta, Georgia. This position is non-exempt and requires four days in the office with one remote day.

Duties and Responsibilities

  • Coordinate client appointments and meetings ensuring timely and efficient scheduling
  • Prepare engagement letters and process conflicts to onboard clients
  • Enter, review, and revise attorney timesheets and transmit invoices by email to clients
  • Prepare documents for client meetings and serve as a witness/notary during will signings
  • Draft standard cover letters for correspondence, memoranda, and other legal documents
  • Submit attorney expense reimbursements
  • Maintain and organize physical and electronic files
  • Assist as backup to other Legal Administrative Assistants in the office
  • Perform other related duties as assigned

Knowledge/Skills/Abilities

  • Minimum of five (5) years of legal assistant experience in a law firm
  • Excellent organizational skills and attention to detail
  • Strong aptitude for legal billing process
  • Polished and professional client service and relations
  • Strong computer proficiency in the use of MS Office (Word, Excel, PowerPoint, and Outlook), Document Management System, Time Entry, e-Filing and database software
  • Demonstrates flexibility in a dynamic work environment
  • Excellent work ethic and strong teamwork skills
  • Self-Starter that takes initiative to ensure deadlines are met
  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift 15 pounds at times
