We are seeking a highly organized, proactive, and detail-oriented Senior Administrative Assistant to support senior leadership within a fast-paced, globally distributed go-to-market (GTM) organization. In this remote role, you will play a key part in streamlining daily operations, coordinating executive priorities, and ensuring effective communication across teams and stakeholders. You will manage complex calendars, coordinate travel and team events, prepare professional communications, and oversee essential administrative and financial processes. Working closely with senior leaders, you will help remove operational roadblocks, strengthen cross-functional collaboration, and keep strategic initiatives moving forward. The ideal candidate thrives in a dynamic environment, adapts quickly to changing priorities, and takes ownership of tasks with minimal supervision. This is an opportunity to make a meaningful impact within an innovative, remote-first organization that embraces technology, continuous improvement, and AI-powered productivity.

Accountabilities
  • Executive and Administrative Support: Provide comprehensive administrative and operational assistance to senior leaders and their teams, helping manage priorities, streamline workflows, and ensure day-to-day activities run smoothly.
  • Calendar and Meeting Coordination: Manage executive calendars, schedule appointments, and coordinate virtual meetings across multiple time zones. Ensure meeting logistics are organized, verify technical readiness, and troubleshoot issues when necessary.
  • Travel Management: Arrange business travel, including flights, accommodation, itineraries, and related logistics, ensuring plans are efficient and aligned with leadership priorities.
  • Communication Management: Draft, edit, and coordinate high-quality internal and external communications on behalf of senior leaders, maintaining professionalism, clarity, accuracy, and appropriate confidentiality.
  • Cross-Functional Collaboration: Build strong working relationships across departments, represent leadership priorities, facilitate information sharing, and proactively resolve communication gaps or operational obstacles.
  • Digital Document Management: Organize and maintain digital files, records, and documentation using appropriate collaboration tools, ensuring information remains accurate, accessible, and well structured.
  • Expense and Procurement Administration: Prepare and compile expense reports, process invoices through procurement systems, and support accurate financial documentation and administrative tracking.
  • Team Events and Offsites: Plan and coordinate team offsites and in-person gatherings, including venue selection, hotels, meals, meeting spaces, attendee logistics, and related arrangements. Travel occasionally to support events when required.
  • Virtual Office Operations: Monitor communication channels, respond promptly to requests, direct messages to the appropriate stakeholders, and maintain effective coordination across a distributed workforce.
  • Project and Initiative Support: Assist with special projects, operational improvements, and cross-functional initiatives as directed, ensuring deliverables are tracked and deadlines are met.
  • AI-Enabled Productivity: Identify opportunities to use AI and digital tools responsibly to improve administrative efficiency, streamline workflows, organize information, and support better decision-making.
  • Confidentiality and Security: Handle sensitive business information with discretion and follow established security, privacy, and remote-work practices when managing documents, communications, and organizational data.
Requirements
  • Professional Experience: At least four years of proven experience in an administrative assistant, executive assistant, or comparable administrative support role. Experience supporting senior leaders in a remote or distributed organization is an advantage.
  • Digital Tools Proficiency: Strong working knowledge of Google Workspace, Zoom, Slack, and other virtual office, communication, scheduling, and project management tools.
  • Organizational Excellence: Exceptional organizational and time management skills, with the ability to manage complex calendars, coordinate multiple projects, maintain accurate documentation, and meet competing deadlines.
  • Communication Skills: Excellent written and verbal communication skills, including the ability to draft polished professional correspondence, manage virtual communications, and interact confidently with stakeholders at different organizational levels.
  • Remote Collaboration: Familiarity with virtual collaboration platforms, digital document management systems, and remote-work best practices, including effective coordination across time zones.
  • Attention to Detail: A strong commitment to accuracy, consistency, confidentiality, and quality when managing schedules, expenses, documents, and executive communications.
  • Autonomy and Initiative: Ability to work independently with minimal supervision, anticipate leadership needs, identify potential issues, and take proactive steps to resolve challenges.
  • Adaptability and Multitasking: Demonstrated ability to handle changing priorities, balance multiple responsibilities, remain composed under pressure, and adapt quickly in a fast-moving environment.
  • Problem-Solving Ability: A practical, solutions-oriented mindset and the confidence to troubleshoot logistical, technical, and administrative challenges.
