Job description

Base pay range

$40.00/hr - $50.00/hr

We are looking for a highly organized, proactive, and resourceful Senior Administrative Assistant to support a C Suite level executive. In this high-visibility role, you’ll ensure smooth day-to-day operations, manage confidential information with discretion, and anticipate needs in a fast-paced environment. The ideal candidate will demonstrate excellent judgment, attention to detail, and the ability to handle multiple priorities independently.

This is a 6 month contract. Hybrid in Quincy, MA

*No Corp to Corp or vendors allowed*

Key Responsibilities:

  • Manage complex calendars and coordinate meetings across multiple time zones
  • Prepare meeting agendas, briefing materials, and post-meeting documentation
  • Arrange travel logistics and process expense reports
  • Conduct targeted research to support strategic initiatives
  • Track action items and ensure timely follow-up on priorities
  • Draft internal communications and confidential correspondence, including reports and presentations
  • Maintain organized digital and physical files and records
  • Support People & Culture initiatives such as event planning, reporting, and logistics
  • Act as a liaison for internal teams and external stakeholders on behalf of the Chief People Officer
  • Proactively anticipate needs and address issues before they arise

Qualifications:

  • 3+ years of experience supporting senior executives or C-suite leaders, ideally within HR, Legal, or Corporate Affairs
  • High level of professionalism and discretion with sensitive information
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office Suite; familiarity with Teams, SharePoint, and DocuSign is a plus
  • Strong ability to prioritize, multitask, and remain adaptable in a fast-paced setting
  • Exceptional attention to detail, organization, and follow-through
  • Comfortable engaging with senior leadership and external partners
