HDR, Inc. seeks an experienced Senior Administrative Assistant to provide essential support to executives and manage office operations in Chicago, IL. This role emphasizes discretion, organization, and effective communication across teams.

The ideal candidate has 3+ years of administrative experience, an associate degree (preferred), and proficiency in MS Office. Hours are full-time with competitive benefits and opportunities to grow within a employee-owned culture.

Qualifications

  • Minimum 3 years of administrative experience in an office environment.
  • Experience with MS Office (Word, Outlook) and basic accounting is a plus.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.

Responsabilités

  • Provide administrative support for executives, including phone coverage and scheduling.
  • Prepare materials, reports, and maintain records.
  • Coordinate meeting facilities and travel arrangements.
  • Handle confidential information with discretion.
  • Support onboarding and workspace coordination with IT and HR.

In the role of Senior Administrative Assistant, we'll count on you to:
  • Provide a variety of administrative functions, which may include administrative support for one or more executives, phone coverage, reading and routing incoming mail, scheduling appointments, and processing expense reports
  • Compose and organize materials and reports, and maintain records for work performed
  • Coordinate and manage meeting facilities and arrangements
  • Handle highly sensitive and confidential information with professionalism and discretion
  • Maintain budget or handle specific accounting responsibilities as needed
  • Answer questions relating to company policies and procedures as needed
  • Provide meeting setup, travel arrangements, light accounting, and other miscellaneous tasks/projects as needed
  • Support new hire onboarding and workspace coordination in partnership with IT and HR
  • Perform other duties as needed
Preferred Qualifications:
  • Associate degree
  • Experience in the A/E industry is preferred
  • 3+ years of previous administrative experience is preferred

Required Qualifications
  • High School diploma or equivalent
  • A minimum of 3 years experience in administrative support
  • Knowledge of MS Office Suite, including Word and Outlook
  • Excellent verbal and written communication skills
  • Professional, self-motivated, well-organized and detail-oriented with the flexibility and ability to prioritize and handle multiple tasks in a fast-paced environment
  • Ability to meet deadlines
  • Knowledge of A/E industry desired
  • Experience working in an office environment
  • An attitude and commitment to being an active participant of our employee-owned culture is a must
