Job summary

HDR, an employee-owned company, is seeking an Administrative Assistant in Omaha, NE. You will greet visitors, manage high-volume calls, coordinate travel, handle expense reports, and prepare documents, reports, and agendas while maintaining professionalism with clients.

Minimum 3 years in a corporate setting with a HS diploma is required; a Bachelor’s/Associate’s degree is preferred. Knowledge of architecture/engineering/construction terms and event planning experience are a plus.

Qualifications

  • High School diploma or equivalent.
  • Excellent verbal and written communication including grammar, punctuation, proofreading, spelling and telephone skills.
  • Ability to manage multiple tasks and prioritise in a fast-paced environment.
  • Self-motivated, well-organized and detail-oriented.
  • Ability to handle confidential information.
  • Proficiency with MS Office including Word and Outlook.

Responsibilities

  • Greet employees and visitors with excellent customer service.
  • Answer and direct high volume of telephone calls.
  • Assist Section Managers with catered lunches.
  • Coordinate travel arrangements.
  • Process expense reports.
  • Complete word processing as needed including letters, memos, reports, and labels.
  • Proofread and edit documents for grammar, spelling, punctuation, and format.
  • Assist with meeting agendas, minutes, and formatting of reports as needed.
  • Printing/compiling/binding project specifications and other documents.
  • Coordinate larger print jobs with a corporate printing company.
  • Ship, receive, and distribute mail/packages.
  • Maintain office supplies.
  • Support end‑to‑end coordination of large internal corporate events, including planning, budgeting, logistics, and on‑site execution.
  • Exhibit professionalism with external and internal clients at all times.
  • Perform other duties as needed.

Preferred Qualifications

  • Demonstrated experience planning and coordinating corporate events.
