Job summary

HDR in Omaha, NE is seeking an Administrative Assistant to provide front-desk support, greet employees and visitors, and manage a high volume of calls. You’ll assist Section Managers with logistics, process expense reports, and handle word processing, proofreading, and document formatting.

The role requires strong MS Office skills, attention to detail, and the ability to juggle multiple tasks in a fast-paced environment.

Qualifications

  • High school diploma or equivalent.
  • Excellent verbal and written communication including grammar and proofreading.
  • Flexibility to manage multiple tasks in a fast-paced environment.
  • Self-motivated, organized and detail-oriented.
  • Proficiency with MS Office including Word and Outlook.

Responsibilities

  • Greet employees and visitors with excellent customer service.
  • Answer and direct high volume of telephone calls.
  • Assist Section Managers with catered lunches.
  • Process expense reports.
  • Complete word processing such as letters, memos, reports and labels.
  • Proofread and edit documents for grammar, spelling, punctuation, and format.
  • Assist with meeting agendas, minutes, and formatting of reports.
  • Print, compile, bind project specifications and other documents.
  • Coordinate larger print jobs with a corporate printing company.
  • Ship, receive, and distribute mail/packages.
  • Maintain office supplies.
  • Support end-to-end coordination of large internal corporate events, including planning, budgeting, logistics, and on-site execution.
  • Exhibit professionalism with clients and internal staff.
  • Perform other duties as needed.

Preferred Qualifications
  • Minimum 3 years of experience in a corporate environment.
  • Bachelor's or Associate's degree.
  • Knowledge of architecture, engineering, and/or construction terms.
  • Demonstrated experience planning and coordinating corporate events.
Required Qualifications

  • Flexibility and ability to prioritize and handle multiple tasks and various managers in a fast‑paced environment
  • Self‑motivated, well‑organized and detail‑oriented
