Job summary

HDR is seeking a Senior Administrative Assistant to support executives and manage a range of administrative tasks in a fast-paced office. The role emphasizes confidentiality, organization, and proactive coordination across departments.

The ideal candidate will have 3+ years of administrative experience, strong MS Office skills, and excellent communication abilities, with an appreciation for an employee-owned culture.

Qualifications

  • High School diploma or equivalent required.
  • Minimum 3 years of administrative support experience preferred.
  • MS Office Suite proficiency, including Word and Outlook.
  • Excellent verbal and written communication skills.
  • Office environment experience and ability to prioritize multiple tasks.
  • Knowledge of A/E industry desired.
  • Active participation in our employee-owned culture is a must.

Responsibilities

  • Provide a variety of administrative functions, including support for executives, phone coverage, mail routing, scheduling, and expense reports.
  • Compose and organize materials and reports, and maintain records.
  • Coordinate and manage meeting facilities and arrangements.
  • Handle highly sensitive and confidential information with professionalism and discretion.
  • Maintain budget or handle specific accounting responsibilities as needed.
  • Answer questions related to company policies and procedures.
  • Provide meeting setup, travel arrangements, light accounting, and other tasks.
  • Support new hire onboarding and workspace coordination with IT and HR.
  • Perform other duties as needed.

In the role of Senior Administrative Assistant, we'll count on you to:
  • Provide a variety of administrative functions, which may include administrative support for one or more executives, phone coverage, reading and routing incoming mail, scheduling appointments, and processing expense reports
  • Compose and organize materials and reports, and maintain records for work performed
  • Coordinate and manage meeting facilities and arrangements
  • Handle highly sensitive and confidential information with professionalism and discretion
  • Maintain budget or handle specific accounting responsibilities as needed
  • Answer questions relating to company policies and procedures as needed
  • Provide meeting setup, travel arrangements, light accounting, and other miscellaneous tasks/projects as needed
  • Support new hire onboarding and workspace coordination in partnership with IT and HR
  • Perform other duties as needed
Preferred Qualifications:
  • Associate degree
  • Experience in the A/E industry is preferred
  • 3+ years of previous administrative experience is preferred

Required Qualifications
  • High School diploma or equivalent
  • A minimum of 3 years experience in administrative support
  • Knowledge of MS Office Suite, including Word and Outlook
  • Excellent verbal and written communication skills
  • Professional, self-motivated, well-organized and detail-oriented with the flexibility and ability to prioritize and handle multiple tasks in a fast-paced environment
  • Ability to meet deadlines
  • Knowledge of A/E industry desired
  • Experience working in an office environment
  • An attitude and commitment to being an active participant of our employee-owned culture is a must
