W3Global is seeking an experienced Senior Accounts Payable & Finance Operations Specialist to join our Los Angeles finance team.

The role supports AP, inventory management, month-end close, and restaurant finance operations across 50+ locations, with a focus on Craftable and leading restaurant systems.

Qualifications

• 3+ years of Accounts Payable, Accounting, or Finance Operations experience preferred.
• Restaurant, hospitality, multi-unit retail, or other high-volume multi-location experience strongly preferred.
• Experience with Craftable preferred.
• Experience with Restaurant365, MarginEdge, MarketMan, or similar restaurant inventory/AP platforms is also highly valued.
• Strong understanding of AP workflows, invoice coding, vendor reconciliation, inventory, and month-end close.

Responsibilities

• Support Craftable & Restaurant Finance Systems including store setup, system configuration, vendor setup and data maintenance.
• Manage invoice mapping, bill approvals, processing, and payment reconciliation within Craftable.
• Troubleshoot invoice, vendor, item, inventory, and store-level system issues; maintain restaurant-level financial data.
• Handle high-volume invoice processing across multiple locations and entities; review coding and approvals.
• Support AP month-end close, including completeness checks, expense review, inventory verification, and reconciliations.
• Coordinate with restaurant managers to ensure timely submission of invoices and close documentation.
• Reconcile vendor statements and resolve missing invoices, credits, duplicates, and discrepancies.
• Review inventory submissions, perform COGS calculations, variance analysis, and audits.

Job description

We are seeking an experienced Senior Accounts Payable & Finance Operations Specialist to join our growing Finance team in Los Angeles.

As we are expanding across the U.S., this position will support accounts payable, inventory management, month-end close, restaurant finance operations, and financial systems across 50+ locations.

We are especially interested in candidates who have experience with Craftable, Restaurant365 (R365), MarginEdge, MarketMan, or other restaurant inventory/AP management systems.

Key Responsibilities

Craftable & Restaurant Finance Systems

• Support new store setup, including system configuration, item list creation, vendor setup, and operational information maintenance
• Manage invoice mapping, bill approvals, invoice processing, and payment reconciliation within Craftable
• Troubleshoot invoice, vendor, item, inventory, and store-level system issues
• Maintain accurate restaurant-level financial and inventory data

Accounts Payable & Month-End Close

• Manage high-volume invoice processing across multiple restaurant locations and entities
• Review invoice coding, approvals, supporting documentation, and payment status
• Support the AP-side month-end close process, including invoice completeness checks, expense review, inventory verification, and reconciliations
• Coordinate with restaurant managers to ensure invoices and month-end documentation are submitted accurately and on time
• Reconcile vendor statements and resolve missing invoices, credits, duplicate charges, and payment discrepancies

Inventory & COGS

• Review restaurant inventory submissions and investigate unusual variances
• Perform COGS calculations, variance analysis, and audits
• Identify inventory and invoice discrepancies and work with restaurant operations to resolve issues
• Help improve inventory accuracy and restaurant cost-control processes

Training & Operations Support

• Conduct inventory, invoice, and finance process training for new General Managers
• Support new restaurant openings and finance system onboarding
• Work closely with store managers, vendors, Operations, and Finance teams to resolve day-to-day financial issues
• Assist with process improvement and standardization as the company continues to scale

Banking & Payment Operations

• Support account monitoring and banking administration
• Assist with internal transfers, wire submissions, payment processing, and account information updates
• Support reconciliation and documentation related to banking activities

Qualifications

• 3+ years of Accounts Payable, Accounting, or Finance Operations experience preferred
• Restaurant, hospitality, multi-unit retail, or other high-volume multi-location experience strongly preferred
• Experience with Craftable preferred
• Experience with Restaurant365, MarginEdge, MarketMan, or similar restaurant inventory/AP platforms is also highly valued
• Strong understanding of AP workflows, invoice coding, vendor reconciliation, inventory, and month-end close
• Experience supporting multiple locations or legal entities preferred
• Strong Excel / Google Sheets skills
• Highly organized and detail-oriented with the ability to manage a high volume of transactions and deadlines
• Strong communication and problem-solving skills
• Comfortable working in a fast-paced, rapidly growing restaurant organization
• Mandarin Chinese proficiency preferred for occasional work-related communication.
