Job summary

BrightStar Care in Downtown Chicago is seeking an energetic Scheduling Lead to manage field staff scheduling, coordinate with clients and families, and ensure high quality home care services.

This full-time role requires at least 2 years in healthcare office scheduling, strong organizational skills, and the ability to lead a small team. Hybrid work is available after training, with weekly in-office presence near downtown.

Qualifications

• Minimum 2 years’ experience in healthcare office scheduling or customer care management.
• Knowledge of HIPAA and healthcare office regulations.
• Strong organization, planning, and project management skills.

Responsibilities

• Manage customer care procedures and serve as primary contact for client relationships.
• Schedule staff to meet client care needs and minimize overtime; ensure on-call readiness.
• Assist intake of new clients and explain BrightStar’s services.
• Lead junior schedulers to meet KPIs and staffing goals.
• Ensure compliance with policies and HIPAA; maintain records.

Looking for an energetic, and detail-oriented Scheduling Lead for our fast-growing Home Care Agency in Downtown Chicago.

Salary:

$50,000 Annually

Office Hours:

Monday-Friday 7am-4pm OR 8:30am-5pm

On-Call Rotation:

We are a 24/7 Business. On-Call Phone and Scheduling Management is rotated between office staff weekly.

Previous Experience:

Preferred experience in home care scheduling, minimum 2 years of healthcare office experience required. Some leadership experience required.

Hybrid Work Available:

After training, a hybrid work option may be available. Weekly in-office work is required for this position, so you must live within a commutable distance to downtown Chicago.

Responsibilities:

• Customer/client care – effectively manages the customer care procedures and serves as point of contact for client/customer relations.
• Scheduling and care coverage – supports and uses all technology tools and resources to ensure proper business processes; schedules staff to meet client care needs and minimize non-billed overtime; ensures on-call phone and assigned staff are properly trained and available as needed.
• Assists with the intake of new clients and informs potential clients of our services and reasons to utilize BrightStar over other agencies
• Assists in the development of organization goals and agency performance improvement activities
• Leads team of junior schedulers to meet or exceed company Key Performance Indicators and Goals.
• Administers agency policies and procedures
• Assists the Director of Nursing with assessing the competency of staff to promote quality, continuity and safety of a client’s care
• Provide information to be used for statistics, reports and records for purposes of evaluation and reporting of organization activities
• Assures proper maintenance of clinical records in compliance with local, state and federal laws
• Assures compliance with all local, state and federal laws
• Adherence to Confidentiality and HIPAA guidelines.

Requirements

• High School Diploma required
• Flexibility and good time management skills A MUST
• Minimum of 2 years’ experience as Customer Care Manager and/or managing customer service within a healthcare office setting; knowledge of HIPAA and healthcare office regulations.
• Excellent organization, planning, and project management skills.
• Negative TB Test and Cleared Background Check
