Job summary

BrightStar Care in Downtown Chicago is seeking a Scheduling Lead for our Home Care division. The role manages staff scheduling, client and family touchpoints, and ensures care standards and staffing objectives are met.

The position requires a self-driven individual with care for the community, leadership experience, and a willingness to lead junior schedulers. Hybrid work is available after training, with weekly in-office work required.

Qualifications

• Minimum 2 years of experience in customer care management or healthcare office settings; knowledge of HIPAA rules.
• Strong organization, planning, and project management skills.
• Flexibility and good time management skills are essential.
• Negative TB test and cleared background check.

Responsibilities

• Manage scheduling for field staff and coordinate with care recipients and families.
• Oversee on-call rotation and ensure proper training and availability.
• Lead junior schedulers and conduct performance conversations.
• Assist with intake of new clients and explain services to prospective clients.
• Develop goals and participate in performance improvement activities.
• Ensure compliance with agency policies and HIPAA and confidentiality guidelines.
• Maintain accurate clinical records and reports for evaluations.
• Collaborate with Director of Nursing to assess staff competency.

Looking for an energetic, and detail-oriented Scheduling Lead for our fast-growing Home Care Agency in Downtown Chicago.

Salary: $50,000 Annually

Office Hours: Monday-Friday 7am-4pm OR 8:30am-5pm

On-Call Rotation: We are a 24/7 Business. On-Call Phone and Scheduling Management is rotated between office staff weekly.

Previous Experience: Preferred experience in home care scheduling, minimum 2 years of healthcare office experience required. Some leadership experience required.

Hybrid Work Available: After training, a hybrid work option may be available. Weekly in-office work is required for this position, so you must live within a commutable distance to downtown Chicago.

Responsibilities:

• Customer/client care – effectively manages the customer care procedures and serves as point of contact for client/customer relations.
• Scheduling and care coverage – supports and uses all technology tools and resources to ensure proper business processes; schedules staff to meet client care needs and minimize non-billed overtime; ensures on-call phone and assigned staff are properly trained and available as needed.
• Assists with the intake of new clients and informs potential clients of our services and reasons to utilize BrightStar over other agencies
• Assists in the development of organization goals and agency performance improvement activities
• Leads team of junior schedulers to meet or exceed company Key Performance Indicators and Goals.
• Administers agency policies and procedures
• Assists the Director of Nursing with assessing the competency of staff to promote quality, continuity and safety of a client’s care
• Provide information to be used for statistics, reports and records for purposes of evaluation and reporting of organization activities
• Assures proper maintenance of clinical records in compliance with local, state and federal laws
• Assures compliance with all local, state and federal laws
• Adherence to Confidentiality and HIPAA guidelines.

Requirements
