Job Title: Scheduling Coordinator - HVAC

Marshall’s Specialty Services is seeking a dedicated Full-Time Scheduling Coordinator-HVAC to join our expanding team. This role requires excellent phone and customer service skills, the ability to work efficiently in a fast-paced environment, and strong communication skills. The position involves scheduling customers and dispatching Service Technicians based on skills, availability, and route efficiency. As the primary communication link between customers and technicians, professionalism, attention to detail, punctuality, and reliability are essential.

Pay and Schedule

• Pay: $19 - $23 per hour
• Position: Full-time, non-exempt
• Work hours: 8:00 am - 5:00 pm, Monday to Friday, with occasional overtime and evening hours during peak seasons

Qualifications

• Proficient in computer use; experience with Google Workspace (G-Suite) is a plus
• Strong verbal and written communication skills
• Typing speed of at least 35 words per minute
• Knowledge of Lane County, OR service area preferred
• Project management experience is a plus

Responsibilities

• Answer live customer calls and identify service needs
• Provide quotes and pricing information to customers
• Create work orders and service agreements; document details in field management software (training provided)
• Schedule service appointments and follow-up repairs
• Dispatch Technicians based on skills, availability, and route efficiency
• Debrief and dispatch Technicians after calls
• Monitor call board to ensure timely customer follow-up
• Maintain accurate customer information
• Make reminder calls to customers
• Collaborate with team members as needed
• Perform other tasks as assigned
