Job summary

Trinity Health Mid-Atlantic Region is seeking a Scheduling Coordinator to ensure timely and accurate appointment scheduling across multiple facilities. The role covers registration, insurance verification, and patient financial interaction with emphasis on adherence to Bronze Standard and SLA guidelines.

The position requires 5+ years in acute care scheduling, knowledge of payer guidelines, and the ability to manage complex scheduling across Mercy Fitzgerald, Nazareth Hospital, St.

Qualifications

• High School Diploma or equivalent; some college preferred.
• Minimum 5+ years scheduling experience in an acute care setting.
• Experience with complex facility-based testing across multiple facilities/states.
• Knowledge of third-party and government payer billing and reimbursement guidelines.
• Preferred NAHAM CHAA or AAHAM CRCS certification.

Responsibilities

• Accurately schedule appointments using scheduling protocols and insurance requirements.
• Collect demographic and financial information and activate pre-registration.
• Complete scheduling, pre-registration, insurance verification and authorization requirements.

Job Title: Scheduling Coordinator

Employment Type: Full-Time

Schedule: 40hrs/wk, 11:00 AM - 7:30PM

Under the direction of the Regional Patient Access Call Center Manager, the Scheduling Coordinator is responsible for timely and accurate appointment scheduling with expertise in scheduling protocols, registration, insurance requirements/verification, identification of accurate patient responsibility with notification to the patient for the Trinity Health Mid-Atlantic Region which includes:

Mercy Fitzgerald, Nazareth Hospital, St. Francis Wilmington and St. Mary Medical Center Langhorne.

• Assist manager in monitoring call handling software and real time reports to ensure calls are being answered within SLA guidelines with the ability to make sound business decisions quickly based on the inbound call volume and/or staffing changes.
• Accurately schedule appointments using scheduling protocols and insurance requirements via current HIS (Health Information System). Collects and documents all required demographic and financial information. Appropriately activates pre-registration.
• Completes scheduling of appointment, pre-registration, insurance verification and authorization requirements with collection of out of pocket payments as applicable based on Bronze Standard.
• Analyze patient insurance(s), identifies the correct insurance plan, selects appropriately from HIS insurance and plan selections and documents correct insurance order. Applies recurring visit processing according to protocol.
• Screens outpatient visits for medical necessity and issues Advanced Beneficiary Notice as appropriate for Medicare primary outpatients. Provides cost estimates. Collects and documents Medicare Questionnaire and obtains information from the patient if third party payers need to be billed (i.e. worker's compensation, motor vehicle accidents and any other applicable payer).
• Financial Advocacy: Screens all patients self-pay & out of network patients using approved technology. Provides information for follow up and referral to the RHM Medicaid Vendor and/or Benefit Advocate as appropriate. Initiates payment plans and obtains payment. Informs and explains all applicable government and private funding programs and other cash payment plans or discounts to the patient and/or family. Incorporates point of service (POS) collection processes into daily functions.

Minimum Qualifications

• High School Diploma or equivalent. Some college preferred
• Must possess a comprehensive knowledge of multiple scheduling systems and have demonstrated proficiency in complex diagnostic testing appointment scheduling processes with a minimum of five plus (5) years of scheduling experience in an acute care setting
• Experience in complex facility based ancillary testing across multiple facilities/states
• Ability to schedule for multiple facilities with significant variants in protocols
• Strong knowledge of third-party and government payer billing and reimbursement guidelines as well as department performance standards and policies and procedures
• Preferred NAHAM CHAA or AAHAM CRCS certification
