Job Objective:

Coordinates all aspects of patient scheduling and ensures all orders, documentation, and authorizations are in place prior to office visit/treatment/procedure.

Skills, Knowledge, Abilities:
  • Ability to create a welcoming environment for patients and visitors, demonstrating empathy and respect in all interactions.

  • Ability to handle difficult and stressful situations calmly and professionally.
  • Proficiency in operating general office equipment (computer, printer, scanner, telephone, etc.).
  • Organizational skills for managing information or data for easy retrieval and use.
  • Successful completion of training orientation programs and competencies.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other relevant software applications.
  • Basic knowledge of insurances, including eligibility and benefit coverage.
  • Critical thinking skills.
  • Knowledge of Epic scheduling, registration, and communication tools.
  • Strong written and verbal communication skills.

Essential Responsibilities

  1. Demonstrates compliance with the Code of Conduct and compliance policies, taking action to resolve questions or concerns and report suspected violations.
  2. Coordinates patient scheduling; verifies insurance and authorizations.
  3. Identifies patients using proper methods of retrieving patient history and information.
  4. Reviews clinic referral work queues to ensure correct linkage of referrals and appointments; may schedule supportive care appointments.
  5. Reviews upcoming schedules for signed and active orders, authorizations, follow-ups, and incomplete items; updates accounts with accurate information from health plans.
  6. Uses automated scheduling technologies to communicate, confirm, and update patient visits.
  7. Performs confirmation calls collaboratively with clinic support staff.
  8. Identifies expiring orders and notifies clinic staff for renewal.
  9. Assists in monitoring clinic readiness according to standards, if applicable.
  10. Collaborates with Patient Financial Services to ensure current and appropriate authorizations and referrals, if applicable.
  11. Uses reports to identify patients without appointments, recalls, no-shows, etc., if applicable.
  12. Registers patients and maintains compliance; verifies and updates patient information accurately.
  13. Collects co-pays/deductibles based on insurance information; provides receipts, if applicable.
  14. Performs other duties as assigned.
