STATEMENT OF POSITION RESPONSIBILTIES

OPERATIONS SCHEDULING MANAGER

Reports to: Director of Operations

Reports to: 901 W. Main Street Woodville, Ohio 43469

We are currently seeking a highly organized and driven individual to join our team as an Operations Scheduling Manager to support our growing operations in Charlotte, North Carolina and Ann Arbor, Michigan, with reporting responsibilities to our headquarters in Woodville, Ohio. This vital role ensures the smooth coordination of scheduling crews/customers, ordering materials and communicating installations. This role is essential in helping us maintain operational efficiency and top-tier customer service. The ideal candidate is detail-oriented, dependable, and thrives in a fast-paced environment where multitasking and clear communication are essential.

Essential Responsibilities:

  • Plan and oversee daily operations of our Ann Arbor Branch.
  • Manage front-end tasks including:
    • Onboarding new installation crews.
    • Ordering and coordinating delivery of roofing materials.
    • Pulling permits as required by local jurisdictions.
    • Scheduling jobs with installation partners.
    • Communicating project timelines and updates with customers.
  • Manage back-end tasks including:
    • Scheduling Quality Control (QC) Inspections post-installation.
    • Conducting picture audits of installation partners and QC Managers.
    • Submitting and managing change orders to ensure accurate job costing and upcharges.
    • Preparing and approving invoices for installation partners.
    • Registering product warranties with manufacturers.
  • Support overall residential operations by understanding cross-functional duties of other Operations Managers to ensure continuity of operations in their absence.
  • Remain accessible by phone after hours to assist with late-day job issues or questions from crews still in the field.
  • Collaborate with team members across departments to maintain seamless project flow from start to finish.

Job Qualifications:

  • Experience:
    • 3+ years of experience in operations, scheduling, or project coordination.
  • Technical Skills:
    • Strong Microsoft Office skills, especially Excel, Outlook, and Teams.
    • Familiarity with permit processes, material ordering systems, and invoice processing workflows.
    • Prior use of CRM systems.
  • Organizational & Communication Skills:
    • Excellent organizational and time-management abilities with a strong attention to detail.
    • Strong written and verbal communication skills, with the ability to interact professionally with crews, vendors, and customers.
    • Ability to manage multiple projects simultaneously and adapt to shifting priorities.
  • Problem-Solving & Leadership:
    • Proven ability to resolve issues quickly and effectively, especially in a high-paced, field-driven environment.
    • Comfortable making independent decisions while also working collaboratively across departments.
    • Willingness to be accessible after standard business hours to support active job sites as needed.
