Job summary

Integrated Power Services (IPS) is seeking a Sales Support Associate who will support the sales and operations teams with vendor relations, invoicing, and documentation management. The role involves processing payments, managing customer files, and coordinating with multiple departments to keep projects on track.

The position requires strong communication and attention to detail, with flexibility for overtime and some weekend work.

Qualifications

Responsibilities

• Vendor management: collect documentation from vendors (W9, OSHA logs, EMR, COI).
• Customer COI requests: respond to insurance certificate requests promptly.
• Invoicing support: prepare T&M and fixed-price details for invoicing.
• Accounts receivable support: assist in collections and sort outstanding payments.
• Project setup in NetSuite and maintenance of customer files (MSA, NDA, terms).
• Process payments, POs, and ensure timely submission of invoicing.
• Review contracts and terms for MSAs and NDAs; coordinate with customers and sellers.
