Wolff Bros. Supply, Inc. is seeking an HVAC Sales Support Specialist to work with our HVAC Sales Manager. The role centers on dealer programs, promotions, vendor coordination, marketing materials, and internal communications to keep HVAC operations running smoothly.

The ideal candidate has strong Excel skills, administrative experience, and comfort navigating ERP systems. This on-site role includes benefits and opportunities for growth within a family-owned, long-standing company.

Responsibilities

• Administer dealer website access and co-op approvals/invoices/credits.

• Retrieve product data from vendor portals and run monthly reports.
• Update product information for web and prepare promotional collateral.
• Provide general office support and scheduling as needed.

The Role

Are you a tech-savvy administrative professional with strong organization skills and advanced Excel expertise? We are looking for an HVAC Sales Support Specialist to work directly with our HVAC Sales Manager. In this role, you will play a central hub role across dealer programs, sales promotions, vendor coordination, marketing materials, and internal communication to keep our HVAC operations running smoothly.

What You'll Do

• Dealer & Program Administration: Manage dealer website access, process co-op approvals/invoices/credits, handle promotional campaigns, and coordinate dealer-supported programs and bulletins.
• Sales & Pricing Support: Maintain accurate pricing spreadsheets, assist with sales plans and Market Adjustment Funds (MAF), and communicate updated product information to the Quotes department.
• Cross-Department Collaboration: Serve as a key liaison between the HVAC Sales Manager, Purchasing, Returns, Marketing, and Field Support Representatives.
• Reporting & Systems Management: Navigate vendor portals to retrieve product data, run monthly vendor-level reports, and maintain data accuracy across company systems.
• Marketing & Communications: Assist with product updates for the web, coordinate promotional flyers and print materials, and help organize HVAC sales meetings and events.
• General Administrative Coordination: Handle routine scheduling, filing, message routing, and general office support as needed.

What You Bring

• Experience: Previous administrative or sales support experience preferred.
• Excel & Software Proficiency: Intermediate to advanced Excel skills (spreadsheet creation, formulas, data management), along with proficiency in Word, Outlook, Teams, and SharePoint.
• Systems Adaptability: Comfort navigating vendor portals and a quick ability to learn internal ERP/business management software for tracking customer, product, and transaction data.
• Detail & Communication: Exceptional attention to detail, accuracy in data entry, and strong written/verbal communication skills.

Physical Requirements & Working Conditions

• Regular movement throughout the facility, including standing, walking, reaching, and occasionally sitting, climbing, balancing, or stooping.
• Ability to regularly lift and/or move up to 50 lbs, and occasionally up to 80 lbs.
• Specific vision abilities required include close vision, color vision, distance vision, and depth perception.
