Job Summary

It's an exciting time to be part of IFF! Based in our Holmdel, NJ Office at Bell Works, the Sales Service Coordinator will be an integral part of our Sales Team. This is a great opportunity for a candidate interested in working in a fast-paced team in Consumer Fragrance, working closely with Account Managers.

About You

We are looking for a passionate and enthusiastic individual who will be the key to the success of our sales team.

A strong background in an administrative function will serve you well, as this position requires high organization and strong attention to detail. This is a highly interactive role where you will coordinate between different internal departments to ensure successful execution of commercial objectives.

To succeed, you should demonstrate excellent interpersonal, organizational, and project coordination skills, along with the ability to learn quickly, prioritize effectively, and manage pressure to meet deadlines.

Responsibilities
  • Client Project Management: Coordinating multiple client fragrance development projects by liaising with internal teams locally and internationally, including perfumers, labs, marketing, production, customer service, and scent designers, while tracking all project details.
  • Client Meeting Preparation: Scheduling and organizing meetings, preparing materials such as samples, blotters, submission sheets, and support documents.
  • Client Service: Providing ongoing support, including pricing, oil coordination, shipping, documentation, and samples. Managing project administration, deadlines, requests, pricing, and records, and entering data into SAP.
  • Data Management: Maintaining data integrity in SAP, Business Warehouse, and other tools, including sales reports, oil references, and price lists.
  • Safety and Regulatory Compliance: Ensuring client portfolios meet industry regulations, issuing safety documents, and coordinating regulatory reworks with relevant teams.

Additional duties include supporting internal and external projects, working independently, and taking ownership to meet objectives.

Required Experience
  • 1-3 years of relevant work experience.
  • Strong multitasking, organizational, and communication skills, with proficiency in Microsoft Office, SAP, and related tools.
  • Ability to support external customers and work under tight deadlines.
Preferred Experience
  • Experience in the fragrance industry (1-3 years preferred).
  • Willingness to travel to our NY office as needed.
  • Experience managing multiple accounts and projects in a fast-paced environment.
  • Understanding of product development processes in perfumery, scent design, marketing, R&D, and operations.
  • Aspirations for a future sales role.

Compensation ranges from $65,000 to $75,000, depending on experience, skills, certifications, and location.
