Job summary

Leavitt Machinery is seeking a Sales Administrator in Surrey, British Columbia. You will work with the Aftermarket Sales team to process orders, manage ERP/SoftBase workflows and maintain CRM data. The role emphasizes customer service, accurate record keeping and cross‑functional coordination with vendors and warehouse staff.

Qualifications

• Experience as Sales Administrator, Sales Coordinator or similar preferred.
• Proficient in Microsoft Office Suite (Excel, Word, Outlook).
• Excellent customer service and communication skills.
• Highly organized with strong attention to detail.

Responsibilities

• Provide administrative support to the Aftermarket Sales team, ensuring smooth order processing and customer satisfaction.
• Manage sales and purchase orders in ERP and SoftBase systems, including creation, review, receiving and follow up.
• Communicate with vendors and internal stakeholders to resolve inquiries, backorder issues and shipping concerns.
• Maintain accurate customer records and CRM data.
• Process customer returns and core returns with documentation and coordination with warehouse and vendors.
• Assist with Accounts Receivable and Accounts Payable tasks, including credit/rebill processes and invoice settlements.
• Support daily sales tracking, order status updates and vendor coordination for pricing and availability.
• Provide support for Sales Representatives and other administrators as needed.
• Facilitate vendor setups and part number requests to ensure timely parts purchasing and inventory management.
• Help coordinate receipt of orders and associated freight charges.
