Job summary

Zero Impact Solutions is a growing renewable energy provider in California seeking a Sales Admin to act as the operational engine behind the sales team. You will own systems, data and cadence that convert proposals into funded, permitted projects, while supporting deal flow, managing active projects across sales, engineering, incentives and construction, and continuously improving sales processes.

You will use AI daily to draft proposals, summarize guidelines, and automate repetitive tasks,

Qualifications

• 1-3+ years in sales operations, sales support, business analysis, CRM administration or project coordination.
• Sales skills: comfortable on the phone and with customers; drafts clear proposals and emails.
• Project management: manages multiple concurrent projects with deadlines; runs status meetings.
• AI fluency: uses generative AI daily to draft proposals, summarize guidelines, and analyze data.
• CRM: hands-on Salesforce experience; admin-level skills; HubSpot or similar considered.
• Data: advanced Excel/Google Sheets; dashboards in Power BI or Salesforce; SQL is a plus.
• Communication: excellent written and verbal communication with customers, utilities, engineers and field crews.
• Mindset: analytical, solution-oriented, organized; thrives in fast-paced, small-company environment.

Responsibilities

• Sales support & deal flow: build proposals, quotes and follow-up materials; maintain templates and collateral.
• Qualify inbound leads, schedule calls and site assessments; keep pipeline moving with timely follow-up.
• Prepare RFP/RFQ responses; track requirements and coordinate inputs across teams.
• Submit incentive and rebate applications; deadlines affect revenue.
• Support contract execution: assemble agreements and route for signature; hand off to engineering.
• Serve as point of contact for customers, utilities and partners during sales-to-construction transition.
• Own active projects through construction kickoff; maintain milestone schedules and status.
• Run weekly status reviews with cross-functional teams; publish status reports and action items.
