Job Summary
As a Sales Coordinator, you will provide active support to our Business Development Representatives, and Account Managers as applicable (Sales Reps), based on the specific needs of the branch sales department. You will ensure that each lead/prospect is tracked, appointment is scheduled, proposals submitted by Sales Reps and regular follow up cadence is followed to ensure that the highest level of “Hospitality” is provided to our clientele throughout the sales process. You will effectively communicate with administrative, sales and operations departments to meet sales goals for the branch.
Responsibilities
- Coordinate and perform activities associated with the Sales department and Sales Reps as directed by the General Manager.
- Support Sales Representatives by coordinating administrative activities, monitoring sales processes, and communicating follow-up requirements to help ensure timely completion of sales activities
- Interact and coordinate with Office Manager and Operations team as necessary.
- Process and schedule each new lead appointment based on sales territory, sales vertical and/or sales relationship and coordinate with Sales Rep as needed prior to and after appointment.
- Capture all applicable data from clients for the requested services, location, budget and scheduling preferences prior to booking the appointment, follow up with Sales Rep and client as needed during the proposal preparation and review process and complete follow-up through to the closing of the sale.
- Become proficient in utilizing internal and client sales and scheduling software tools for managing sales related processes and communication (i.e. Acumatica, Service Channel).
- Responsible for “lead to close” sales monitoring and tracking to ensure that branch sales goals are reached or exceeded under the direction of the Sales Manager/General Manager.
- Learn and demonstrate proficiency in the sales process, terminology and proposal development and creation process.
- Assist with and attend trade shows and sales related events.
- Expected to be familiar with all company policies and, if applicable, union contract terms as it relates to wages, and work time to ensure that sales commitments and pricing are accurate and can be met.
- Maintain sales files, proposal templates, and supporting documentation.
- Prepare sales reports and other administrative reports as requested.
- Crosstrain with Office Manager on applicable duties based on branch needs.
- Use Microsoft PowerPoint in preparing proposals, presentations and communication materials that will represent Stuart Dean to existing and potential clients.
- Recognize and solve typical and atypical problems that can occur in own work area without supervisory approval.
Skills & Experience
- Minimum of 3-5 years’ experience in sales support, business development coordination, customer service, project coordination or a related administrative role
- Experience working in a service-based, facilities, restoration, construction, property management or related industry preferred.
- Experience working in the metal, stone, and wood restoration space is a plus
- Experience supporting multiple sales representatives and managing competing priorities preferred
- Experience coordinating client communications and managing lead follow-up
- Ability to explain detailed and complicated information within the team in a clear and concise manner
- Experience using business management software (e.g., Acumatica, ServiceChannel, or similar systems a plus)
- An established understanding of work routines and standards and applying skills and knowledge in a range of industry processes, procedures, and systems are required.
- Strong organizational, time management, and communication skills.
- Exceptional attention to detail and ability to manage multiple priorities.
- Requires intermediate problem-solving skills with the capacity to review and select solutions from available options without supervisory approval.
- Proficiency in Microsoft Office including Word and Excel
- Driving license and access to own vehicle to visit client buildings as necessary.
- Performs other duties and responsibilities as assigned or as business needs require.
