Job summary

Generation Hospitality Group is seeking a Sales Coordinator to support the sales and marketing teams in Billings, MT. This hourly, full-time role focuses on organizing day-to-day operations, coordinating meetings, and maintaining accurate client records.

Responsibilities

  • Support the sales team with daily administrative tasks to keep the process running smoothly.
  • Coordinate and schedule meetings, client calls, product demos, and internal check-ins.
  • Prepare and track proposals, quotes, contracts, and client-facing documents.
  • Maintain CRM records including leads, contacts, opportunities, and activities.
  • Assist in creating sales reports, dashboards, and performance summaries.
  • Serve as a point of contact for client inquiries and route questions appropriately.
  • Collaborate with marketing to support campaigns, events, and promotions.
  • Help coordinate trade shows, webinars, and other sales/marketing events.
  • Monitor and replenish sales materials, presentations, and collateral.
  • Research prospects and assist with outbound communications to support lead generation.
  • Assist with order processing and ensure accuracy of information.
  • Identify opportunities to improve sales processes and workflows.

About The Role

As a Sales Coordinator in our Sales / Marketing department, you will play a key role in supporting day-to-day sales operations and ensuring our sales team is set up for success. This hourly, full-time position is ideal for someone who is highly organized, detail-oriented, and comfortable working in a fast-paced, customer-focused environment. You will serve as a central point of contact between sales representatives, marketing, and other internal teams, helping to manage sales documentation, coordinate schedules, maintain accurate records, and provide exceptional service to clients and prospects. This role offers the opportunity to learn the full sales cycle, contribute to revenue growth, and build a strong foundation for a long-term career in sales or marketing.

What You’ll Do
  • Support the sales team with day-to-day administrative and operational tasks to keep the sales process running smoothly.
  • Coordinate and schedule sales meetings, client calls, product demos, and internal team check-ins.
  • Prepare, update, and track sales proposals, quotes, contracts, and other customer-facing documentation.
  • Maintain accurate and up-to-date records in the CRM system, including leads, contacts, opportunities, and activities.
  • Assist in the creation and distribution of sales reports, dashboards, and performance summaries for management review.
  • Act as a point of contact for client inquiries, routing questions to the appropriate team member and following up to ensure timely responses.
  • Collaborate with marketing to support campaigns, events, and promotions, ensuring sales has the materials and information needed to follow up on leads.
  • Help coordinate trade shows, webinars, and other sales and marketing events, including logistics, registrations, and follow-up communications.
  • Monitor and replenish sales materials, presentations, samples, and other collateral used by the sales team.
  • Support lead generation and qualification activities by researching prospects, updating contact lists, and assisting with outbound communications as needed.
  • Assist with order processing, from initial request through to confirmation, ensuring accuracy and completeness of information.
  • Identify opportunities to improve sales processes and workflows, offering suggestions to increase efficiency and effectiveness.
  • Work closely with cross-functional partners such as Customer Service, Finance, and Operations to ensure a seamless customer experience.
  • Adhere to established company policies, procedures, and quality standards while maintaining confidentiality of client and company information.
Qualifications
  • Previous experience in a sales support, sales coordination, customer service, or administrative role is preferred.
  • Strong organizational and time-management skills, with the ability to handle multiple tasks and priorities in a fast-paced environment.
  • Excellent verbal and written communication skills in English, with a professional and customer-focused approach.
  • High attention to detail and accuracy when preparing documents, entering data, and maintaining records.
  • Proficiency with office productivity tools such as Microsoft Office or Google Workspace (e.g., Excel/Sheets, Word/Docs, PowerPoint/Slides).
  • Comfort using CRM software or willingness and ability to learn new sales tools and systems quickly.
  • Demonstrated ability to work both independently and collaboratively within a team setting.
  • Strong problem-solving skills and the initiative to follow through on tasks with minimal supervision.
  • Ability to maintain professionalism and composure when working with clients and internal stakeholders.
  • High school diploma or equivalent required; additional education in business, marketing, communications, or a related field is a plus.
  • Flexibility to work full-time, hourly shifts that may occasionally extend to support time-sensitive sales activities or events.
