Responsibilities

• Lead & Prospect Management: Monitor and respond to daily emails regarding new leads and prospective clients.
• Review and analyze RFPs to understand client needs, specifications, and project scope.
• Prepare detailed, customized proposals including plant lists, irrigation components, grading and soil costs, and labor estimates.
• Collaborate with Project Managers to review proposals and finalize pricing.
• Maintain organized records of all client communications, proposals, and project notes; ensure accuracy and compliance.

Job description

This role plays a crucial part in the pre-construction phase by managingand coordinating incoming leads and Requests for Proposals (RFPs), developingcomprehensive project proposals, and supporting the sales team with accuratepricing and thorough project documentation. The ideal candidate will have astrong understanding of landscape design, irrigation systems, plant materials,and construction estimating, as well as the ability to interpret technicalblueprints and site plans.

Key Responsibilities:

• Lead & Prospect Management
• Monitor and respond to dailyincoming emails regarding new leads and prospective clients.
• Organize and prioritizeinquiries to ensure timely follow-up and proposal development.
• Review and analyze RFPs tounderstand client needs, specifications, and project scope.
• Prepare detailed, customizedproposals that may include:
• Plant lists and plant materialselections.
• Irrigation components andsystem estimates.
• Grading and soil preparationcosts.
• Ground cover materials and hardscapeelements.
• Labor and installationestimates.
• Ensure all client requirementsare reflected accurately in proposals and documentation.
• Study and interpret site plans,construction drawings, and blueprints provided by clients.
• Cross-reference specificationswith internal standards and materials availability.
• Communicate with nurseries andplant vendors to secure competitive pricing on plant materials.
• Coordinate with irrigationsuppliers and ground cover companies for quotes and availability.
• Ensure all materials comply withcounty codes and regulations relevant to the project location.
• Internal & ClientCommunication
• Collaborate closely with ProjectManagers to review proposals and finalize pricing.
• Revise proposals as needed basedon feedback before submission to clients.
• Present finalized proposals toclients in a professional and timely manner.
• Documentation & Accuracy
• Maintain organized records ofall client communications, proposals, and project notes.
• Double-check estimates anddocumentation to ensure completeness and compliance.

Required Skills & Qualifications:

Preferred Experience:

• 2–4 years in a sales, estimating,or project coordination role in the landscaping or construction industry.
• Degree or coursework in LandscapeDesign, Horticulture, Construction Management, or related field (preferredbut not required).
• Experience negotiating withvendors and coordinating with subcontractors.
