Job summary

Steadfast Alliance in Florida is seeking a Pre-Construction Proposal Specialist who coordinates incoming leads and RFPs, develops detailed proposals, and supports sales with pricing and project documentation.

The ideal candidate understands landscape design, irrigation, plant materials, and construction estimating; reads blueprints; and collaborates with vendors and internal teams to ensure accurate, compliant proposals from start to finish.

Responsibilities

• Lead & Prospect Management: monitor and respond to daily emails regarding new leads and prospective clients; organize inquiries for timely follow-up and proposal development.
• Proposal Development & Estimation: review RFPs, prepare detailed proposals with plant lists, irrigation components, soil costs, hardscape elements, and labor estimates.
• Blueprint & Plan Review: study site plans and construction drawings; cross-reference specs with internal standards.
• Vendor & Subcontractor Coordination: liaise with nurseries and irrigation suppliers for quotes and availability; ensure compliance with local codes.
• Internal & Client Communication: collaborate with Project Managers to review proposals and finalize pricing; present proposals to clients.

Position Summary:

This role plays a crucial part in the pre-construction phase by managingand coordinating incoming leads and Requests for Proposals (RFPs), developingcomprehensive project proposals, and supporting the sales team with accuratepricing and thorough project documentation. The ideal candidate will have astrong understanding of landscape design, irrigation systems, plant materials,and construction estimating, as well as the ability to interpret technicalblueprints and site plans.

Key Responsibilities:

• Lead & Prospect Management
  • Monitor and respond to dailyincoming emails regarding new leads and prospective clients.
  • Organize and prioritizeinquiries to ensure timely follow-up and proposal development.
• Proposal Development &Estimation
  • Review and analyze RFPs tounderstand client needs, specifications, and project scope.
  • Prepare detailed, customizedproposals that may include:
    • Plant lists and plant materialselections.
    • Irrigation components andsystem estimates.
    • Grading and soil preparationcosts.
    • Ground cover materials and hardscapeelements.
    • Labor and installationestimates.
  • Ensure all client requirementsare reflected accurately in proposals and documentation.
• Blueprint & Plan Review
  • Study and interpret site plans,construction drawings, and blueprints provided by clients.
  • Cross-reference specificationswith internal standards and materials availability.
• Vendor & SubcontractorCoordination
  • Communicate with nurseries andplant vendors to secure competitive pricing on plant materials.
  • Coordinate with irrigationsuppliers and ground cover companies for quotes and availability.

  • Revise proposals as needed basedon feedback before submission to clients.

  • Maintain organized records ofall client communications, proposals, and project notes.
  • Double-check estimates anddocumentation to ensure completeness and compliance.
