Overview

Opportunity: Sales and Catering Coordinator

This role involves performing administrative functions to support the property sales and catering team, ensuring timely and accurate service to internal departments and external customers.

Potential Career Path

Progression can lead to roles such as Sales, Catering, or Conference Services Manager, or eventually to Director of Catering or Director of Sales.

Essential Job Functions

1. Answer telephone calls promptly and communicate relevant account information to managers and departments.
2. Type and process correspondence, proposals, banquet event orders, and contracts as directed by management.
3. Distribute memos, contracts, resumes, room requests, amenities, and other communications related to sales and catering to relevant departments.
4. Act as a liaison between Sales/Catering Directors and Managers and other departments to facilitate communication for upcoming events, including distribution of BEOs, resumes, and updates.
5. Communicate professionally with clients and respond to inquiries.
6. Coordinate with other departments to ensure seamless service delivery and guest satisfaction.
7. Maintain and organize files of contracts and correspondence according to established standards.
8. Reserve and confirm rooms, meeting spaces, and banquet spaces as needed.
9. Follow sustainability guidelines related to HHM’s EarthView program.
10. Perform other duties as assigned by management.

Position Requirements

• High School diploma or Bachelor’s Degree preferred but not required.
• Previous hotel sales or catering experience is preferred but not required.

Work Environment and Context

• Work hours may vary and include occasional holidays, evenings, and weekends.
• Must be able to sit for extended periods, lift up to 10 pounds, and operate keyboards using hands and fingers.
