Job summary

Gray Hawk Land Solutions in Clarksburg, WV seeks a Document Specialist to own ROW project files across the lifecycle, ensuring accuracy of easements, deeds, and ownership records for field teams and clients.

You will maintain line lists, track deadlines, manage Excel reports, and coordinate with various parties to keep projects moving smoothly. Per diem is available to qualified candidates.

Qualifications

• Minimum five (5) years of experience preparing and processing ROW acquisition and easement documents.
• Deep understanding of all phases of a right-of-way project from line list through construction.
• Ability to review, interpret, and process land acquisition agreements and title documents.
• Knowledge of courthouse recording requirements for easements and ROW instruments.
• Advanced Excel and Word skills; strong data-entry capabilities.
• Excellent written and verbal communication; able to work with minimal supervision.

Responsibilities

• Manage, organize, and maintain all ROW project files from line list through construction.
• Review, process, and track land acquisition agreements and easements per requirements.
• Enter data into client systems, maintain line lists, and generate reports.
• Scan, file, and organize documents in electronic and physical records systems.
• Track deadlines, status, and milestones across multiple assignments.
• Maintain Excel-based tracking spreadsheets with formula logic for reporting.
• Coordinate with field agents, team members, and outside parties to keep projects moving.
• Represent Gray Hawk professionally in client and partner interactions.
