Job summary

Gray Hawk Land Solutions seeks a Document Specialist to manage ROW project files from line lists through construction. The role ensures accuracy of easements, deeds, and ownership records and maintains data in client systems such as Irth Land Management.

The ideal candidate will demonstrate five years of ROW experience, advanced MS Office skills, and the ability to coordinate with field teams and clients while meeting deadlines in an in-office El Paso setting. Per diem may apply.

Qualifications

• 5+ years of experience preparing and processing ROW acquisition and easement documents.
• Understanding of all phases of a ROW project from line list development through construction.
• Ability to review, interpret, and process land acquisition agreements and title documents.
• Knowledge of courthouse recording requirements for easements and ROW instruments.
• Advanced Microsoft Office proficiency, especially Excel and Word, with data-entry skills.

Responsibilities

• Manage, organize, and maintain all ROW project files from line list development through construction—easements, deeds, leases, and ownership records.
• Review and track land acquisition agreements and ROW documents per courthouse requirements and client standards.
• Maintain accurate line lists and data in client systems, including Irth Land Management.
• Scan, file, and organize documents in electronic and physical records systems.
• Track deadlines, status, and milestones across concurrent assignments; build Excel reports.
• Coordinate with field agents and internal/ external stakeholders to keep projects moving.
• Represent Gray Hawk professionally in client and partner interactions.
