Job summary

Gray Hawk Land Solutions is seeking a Document Specialist to own the integrity, organization, and accuracy of right-of-way project files from line lists through construction in-office in El Paso, TX. You will ensure every easement, deed, and ownership record is processed and accessible for field teams, project managers, and clients.

Qualifications

• Minimum five (5) years of ROW acquisition and easement document experience.
• Understand all phases of ROW projects from line list development through construction.
• Ability to review and interpret land acquisition agreements and title documents.
• Knowledge of courthouse recording requirements for ROW instruments.
• Advanced Excel and Word skills.
• Strong organization and attention to detail; multitask well.
• Excellent written and verbal communication.
• Ability to work independently with minimal supervision.

Responsibilities

• Manage and maintain all right-of-way project files from line list through construction.
• Review, process, and track land acquisition agreements and ROW documents.
• Maintain accurate line lists and data entry in client systems.
• Scan, file, and organize documents in electronic and physical records.
• Track deadlines, status, and milestones across concurrent assignments.
• Build and maintain Excel-based tracking spreadsheets and reports.
• Coordinate with field agents and internal team members to keep projects moving.
• Maintain records, reporting, and project-status documentation.
• Represent Gray Hawk professionally in client and partner interactions.
