Job summary

River Roofing, serving Oregon since 1971, seeks a Production Administrator to keep projects running smoothly and give customers a white-glove experience. You’ll coordinate across crews, clients, and staff, manage contracts, scheduling, and permits, and update project progress in our CRM (ServiceTitan).

As a brand ambassador, you’ll help meet sales commitments, improve service quality, and support growth at our on-site operations across multiple locations.

Qualifications

• Customer service or administrative experience; construction or home services experience a plus.
• Proficiency with CRM and service management software (ServiceTitan preferred).
• Strong organizational skills and ability to manage multiple priorities with attention to detail.
• Excellent verbal and written communication skills, with a customer-focused approach.
• Problem-solving mindset; adaptable, proactive, and team-oriented.
• Comfortable working at a computer for extended periods; able to occasionally lift up to 15 lbs.
• Must be able to communicate effectively via phone, video, and in person.

Responsibilities

• Review customer contracts for accuracy of colors, sizes, and job details.
• Prepare production documents and instructions for installation crews.
• Order materials and coordinate on-time delivery to sites.
• Communicate with customers to set expectations and schedule installations.
• Improve service quality with leadership on standards.
• Obtain and process permits from local building departments.
• Manage status calls and provide CRM-based updates.
• Track progress of project phases in the service management software.
• Share comprehensive project plans with customers and staff.
• Ensure installation documentation is complete and accurate.
• Update invoices and purchasing documents reflecting changes.
• Monitor production performance and identify inefficiencies.
• Collaborate with cross-functional teams to resolve issues and deliver service.
