Job summary

Quality Trusted Commercial is seeking an Operations Coordinator for our commercial roofing team. You will act as the central hub among customers, service teams, project managers, and vendors, blending office management with service coordination to keep operations on schedule.

The role requires strong organization, multi-tasking, and communication skills as you handle scheduling, permitting, warranty tracking, payroll support, and documentation from initiation through close-out.

Qualifications

• 3-7+ years in office management, project coordination, or construction administration.
• Highly organized with strong attention to detail and ability to manage multiple priorities.
• Strong written and verbal communication and customer service skills.
• Proficiency in Microsoft Office (Excel, Outlook, Teams).
• Experience with CRM, ERP, or service management software.
• Comfortable working with both field teams and operations leadership.

Responsibilities

• Coordinate with operations team to prioritize work and manage workload.
• Manage vendor scheduling for on-site equipment and travel arrangements for field crews.
• Support planning for maintenance programs and recurring service contracts.
• Assist with handoffs between sales, service, and production.
• Coordinate service calls, inspections, and maintenance; dispatch crews; communicate schedules.
• Track job progress and ensure timely completion; coordinate permitting with municipalities.
• Maintain compliance documentation and warranty records.
• Serve as primary point of contact for service-related inquiries; provide timely updates to customers.
