Job Summary

This position is responsible for processing all release of information requests in a timely and efficient manner, ensuring accuracy and providing customers with the highest quality product and customer service. The associate must safeguard and protect the patient's right to privacy by ensuring that only authorized individuals have access to the patient's medical information, and that all releases comply with requests, authorization, company policy, and HIPAA regulations.

Essential Functions
  1. Complete release of information requests, including retrieving, returning, and scanning patient's medical charts, and transmitting according to established procedures and standards.
  2. Date stamp all requests and highlight pertinent data for processing.
  3. Validate requests and authorizations for release of medical information.
  4. Perform quality checks to ensure accuracy, confidentiality, and proper invoicing.
  5. Maintain equipment in excellent condition.
  6. Provide excellent customer service by being attentive, respectful, and proactive in addressing client concerns.
  7. Handle incoming requests via mail, telephone, or fax as needed.
  8. Maintain a professional appearance and a clean work environment.
  9. Keep up-to-date with state laws and fee structures.
  10. Work within the scope of position and accept additional assignments as needed.
  11. Follow policies and procedures, including HIPAA, federal, and state regulations.
  12. Maintain confidentiality and security of all information.
  13. Handle privileged information responsibly, ensuring efficient and accurate release of medical records.
Qualifications
  • High School Diploma (GED) required.
  • At least 2 years of experience in a medical records department or similar setting preferred.
  • Proficiency with Microsoft Word and Excel.
  • Excellent organizational skills.
  • Typing speed of 50 WPM.
  • Ability to operate fax, copier, and scanning equipment.
  • Willingness to learn new equipment and processes quickly.
  • Self-motivated team player.
  • Proven customer satisfaction skills.
  • Ability to multi-task.
  • Internet speed of at least 5 Mbps.
