Job summary

Illumia is seeking a Proposal Manager to lead RFP coordination and end-to-end response processes, collaborating with Sales, Contracts, Legal, and HR to meet deadlines.

You will drive planning calls, maintain content libraries, ensure compliance, and oversee final assembly for submissions using SharePoint, RFPIO, and Microsoft 365 in a hybrid role based in Alpharetta, GA or Scottsdale, AZ.

Qualifications

• 4+ years proposal coordination or project management experience.
• Experience writing sales proposals and responding to RFPs (US$500K+ bids).
• Bachelor’s degree; APMP/PM certification preferred.
• Ability to manage multiple groups across an organization.
• Excellent MS Word/Excel formatting and editing skills.

Responsibilities

• Manage/Lead all aspects of RFP coordination with Sales, Contracts, Legal, Security, HR, etc.
• Drive the response process end-to-end, manage deadlines and escalate risks.
• Maintain response trackers, status reporting, and submission readiness.
• Lead planning calls to define milestones and deliverables.
• Manage RFP kickoffs: requirements, compliance matrix, responsibilities, deadlines.
• Content library maintenance and reuse; assist in creating new content.
• Compliance review: ensure all requirements answered, attachments included, forms signed.
• Leverage project tools including SharePoint, Word, Excel, Teams, RFPIO, Acrobat, Copilot/Claude.
• Final assembly: PDF conversion, naming conventions, portal uploads, rendering checks.
• Version control in collaborative authoring.
• Stay current on proposal best practices and market trends.
