Effective School Solutions is seeking a detail-oriented RFP & Contract Support Specialist to join the District and School Partnership team in the United States. This role will back the RFP Manager with proposal development from kickoff to submission and assist contract processing across Sales and Operations, ensuring accuracy and timely delivery.

Qualifications

• 1-3 years of experience in RFP or grant writing, proposal development, contract support, or related area.
• Not an entry-level role; experience with complex, deadline-driven documents or processes preferred.
• Exceptional attention to detail and ability to serve as quality-control for contracts and proposals.
• Strong written communication, proofreading, editing, and document-formatting skills.
• Ability to coordinate information and collaborate with stakeholders across multiple departments.
• Strong organizational and time-management skills.
• Ability to manage competing priorities across RFP work, contract support, and ad hoc requests.
• Comfortable learning and using new software and AI-assisted tools.
• Ability to track multiple deadlines and follow up on outstanding information.
• Demonstrated reliability, adaptability, accountability, and follow-through.
• Experience with CRM, proposal-management, contract-management, or document-collaboration platforms preferred.

Responsibilities

• Support the RFP Manager through the proposal-development process from kickoff to submission.
• Gather information and coordinate with internal SMEs to support complete and accurate responses.
• Draft and update standard proposal sections using approved language and resources.
• Assist with proposal formatting, data gathering, document assembly, proofreading, and quality review.
• Maintain the RFP tracking log and flag upcoming deadlines, missing materials, and risks.
• Contribute approved content to ESS’s internal RFP response database for future submissions.
• Ensure proposals are polished, accurate, and submitted on time.
• Review and quality-check AI-generated contracts before routing for approval.
• Manage contract intake, internal routing, and handoff to signature.
• Confirm pricing and terms are accurately reflected in contracts.
• Flag pricing exceptions or unusual terms to Revenue Operations.
